Overview
Administrative Assistant - Healthcare role at Clyde & Co. The role provides administrative and file management support across the team. Work will come from the fee earner or through work allocated by the Practice Assistants. The role is accountable for establishing and maintaining an ongoing service-based relationship with the team they support, recognising and translating their needs into a responsive service.
Key Responsibilities
* Client Relationship Management: Liaise with Practice Assistants to provide support to Client & Marketing for scheduling tender meetings, directory interviews, client training, etc. Update and maintain interactions by entering new prospects, clients and contacts, activities and business development information. Ensure current knowledge of client-specific protocols and processes and integrate these into current practices.
* Administrative: File management – update and maintain all files, name documents according to the business-wide naming convention, and ensure correct folder structures (electronic and paper). File opening and closing – matters are set up on the relevant document/case management system. Undertake file closing/archiving procedures to ensure compliance.
* General Support: Assist Practice Assistants with organisation of internal and external events, seminars and conferences; arrange registers, delegates, travel, materials and giveaways. Order promotional goods and manage stock; arrange room and taxi bookings, hand deliveries and courier requests; support high-volume printing/copying.
* Communication: Liaise with team members on workload and deadlines; answer internal calls; take direction from Hub Leader, Practice Assistants and Legal Support Assistants; update service users on progress.
* Financial: Assist with billing and expenses as required.
* Processing: Manage priorities and workload to meet deadlines; create and upload information to client data rooms; produce court bundles (paper and electronic) as per fee earner instructions; ensure delivery methods are booked; check client and internal data for accuracy; ensure compliance with firm-wide/department policies; manage post and emails and file client-related correspondence appropriately.
* Customer Service: Attend team meetings; liaise with fee earners, Hub Leaders and Legal Support Managers; provide ongoing support and communicate progress to stakeholders.
