Job Description:
As the Events and Operations Manager for our esteemed organization, you will be responsible for overseeing the planning, execution, and logistics of our luxury superyacht events, ensuring flawless operations and unforgettable experiences for our attendees. Your role will involve coordinating all aspects of event management and optimizing operational efficiency to maintain our reputation as a leader in the industry.
Responsibilities:
1. Lead the end-to-end planning and execution of luxury superyacht events, from initial concept development and venue selection to on-site coordination and post-event evaluation.
2. Manage all operational aspects of events, including budgeting, vendor contracts, logistics, staffing, transportation, security, and regulatory compliance.
3. Collaborate closely with internal teams, external partners, sponsors, and vendors to align on event objectives, requirements, and deliverables, ensuring seamless coordination and execution.
4. Develop comprehensive event timelines, schedules, and checklists to facilitate efficient planning, execution, and follow-up activities.
5. Liaise with venue management, catering services, audiovisual suppliers, and other event vendors to coordinate setup, catering, decor, technical requirements, and other logistical arrangements.
6. Oversee registration, ticketing, and attendee management processes, utilizing event management software and tools to streamline operations and enhance the guest experience.
7. Implement health and safety protocols, risk management procedures, and contingency plans to ensure the well-being and security of all event participants.
8. Provide on-site leadership and support during events, addressing any operational issues, managing staff and volunteers, and ensuring adherence to event timelines and standards.
9. Conduct post-event evaluations, gather feedback from stakeholders, analyze event performance metrics, and identify areas for improvement and innovation.
10. Stay abreast of industry trends, best practices, and emerging technologies in event management and operations, incorporating relevant insights into our event strategies and practices.
11. Travel 6 weeks a year is essential.
**Requirements:**
1. Proven experience (3 years) in event management, and operations, preferably within the luxury events, yachting, or hospitality industry.
2. Strong organizational and project management skills, with the ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
3. Excellent communication, negotiation, and interpersonal skills, with the ability to build relationships, lead teams, and collaborate effectively with diverse stakeholders.
4. Familiarity with event management software and tools, such as Zoho One Marketing Suite, Cvent, Eventbrite, or similar platforms, is desirable but not essential.
5. Knowledge of health and safety regulations, risk management principles, and emergency response procedures applicable to event management.
6. Creative problem-solving abilities, adaptability to changing circumstances, and a proactive approach to resolving challenges and optimizing operations.
7. Bachelor's degree in event management, hospitality management, business administration, or related field; additional certifications or qualifications are a plus.
8. Flexibility to travel and work outside regular office hours as required by event schedules and operational needs.
