About the Role
We’re looking for an experienced and proactive Office Manager to support our business operations across multiple functions and value streams. This is a generalist role with a dotted line into HR and involvement in wider HR initiatives, providing guidance, advice, and support to the business. You will play a key role in ensuring smooth office operations, compliance, and continuous improvement initiatives across the site in Prestonpans.
Key Responsibilities
Office & Administrative Management:
* Lead and streamline office procedures, calendars, schedules, meetings, and events.
* Oversee site administration, project support, permit control, and document management.
* Manage incoming communications, visitors, calls, and supplier/customer interactions.
* Ensure timely completion of administrative tasks and business reporting, including HR KPIs and HSE incident reports.
* Support travel arrangements for staff and visitors, including hotels and transport.
* Maintain office Health & Safety standards and coordinate with third-party suppliers on compliance.
* Manage facility upkeep and 5S initiatives.
HR Support:
* Partner with HR to onboard new employees, ensuring documentation and right-to-work compliance.
* Collect payroll data, manage LMS training, and coordinate additional site training needs.
* Arrange uniforms, IT equipment, and assist with visa appointments.
* Log and report annual leave, absence, and employee welfare issues.
* Support managers and HR with absence reviews and stage reporting.
* Liaise with recruitment agents regarding requisitions and invoices.
HSE Support:
* Assist HR with HSE incident logging and evidence collection.
* Conduct safety conversations and manage PPE.
* Support HSE audits, site inductions, and ensure fire extinguisher and supplier compliance.
Skills & Experience:
* Proficient in MS Office, especially Excel and PowerPoint; able to draft reports.
* Strong attention to detail, integrity, and professionalism.
* Degree or equivalent professional qualification in business; CIPD desirable.
* Experience in multi-site, multi-discipline, or global companies.
* Manufacturing experience advantageous.
* People management experience and SAP knowledge advantageous.
* HSE knowledge advantageous.
