The role will provide essential administrative and reporting support for company‑wide systems and tools, helping ensure accurate data, effective reporting, and smooth coordination of processes. With the company moving to new premises, the role will also include shared reception and front‑of‑house responsibilities.


Responsibilities


Business Excellence & HSQE Support

* Provide administrative support across HSQE, Business Excellence and Real Estate activities
* Support the maintenance of company‑wide tools, systems and registers
* Assist with data collation, reporting and dashboards (HSQE metrics, audits, KPIs, action tracking)
* Support document control, version management and compliance records
* Assist with audit preparation, evidence gathering and follow‑up actions


Reporting & Data Administration

* Support the creation and upkeep of regular reports for internal stakeholders
* Ensure accuracy, consistency and timeliness of business data
* Assist in tracking actions, risks, opportunities and improvement initiatives
* Help maintain central databases, logs and trackers


Real Estate & Facilities Support

* Provide administrative support relating to property and facilities activities
* Assist with contractor records, documentation and schedules
* Support coordination related to office moves and workplace changes


Reception & Office Support

* Support reception duties in the new premises, including:
o Welcoming visitors and managing sign‑in procedures
o Managing meeting room bookings and visitor arrangements
* Assist in maintaining a professional, well‑organised front‑of‑house environment
* Provide general office administrative support as required


Qualifications & Experience

We’re looking for someone who is organised, reliable and comfortable supporting multiple teams. You don’t need experience in every area listed — we’re interested in transferable skills and a willingness to learn.

* Have experience in an administrative, coordination or support role
* Are comfortable working with systems, data or reports
* Enjoy supporting structured processes and keeping records accurate and up to date
* Communicate professionally and confidently with colleagues and visitors
* Are happy supporting reception or front‑of‑house activities as part of a wider admin team

Experience with HSQE, compliance, facilities or business improvement is helpful but not essential — training and support will be provided.


Essential

* Proven experience in an administrative or coordination role
* Strong organisational skills and attention to detail
* Confident user of Microsoft Office (Excel, Word, PowerPoint)
* Ability to manage multiple priorities and work across different teams
* Professional, approachable manner with strong communication skills


Desirable

* Experience supporting HSQE, compliance, business improvement or facilities functions
* Experience with reporting, dashboards or management information
* Familiarity with company‑wide systems or document management tools
* Previous reception or front‑of‑house experience


Personal Attributes

* Proactive and reliable with a “can‑do” approach
* Comfortable working with data, systems and structured processes
* Discreet and professional when handling sensitive information
* Willing to support across different functions during periods of change
