About us
The British Association for Psychopharmacology (BAP) is a learned membership society and registered charity. It promotes research and education in psychopharmacology and related areas, and brings together people from academia, health services, and industry. Formed in 1974, it is the largest such national association in Europe, and the second largest in the world. BAP is overseen by a volunteer Trustee Board, called Council; the staff team is led by the Chief Executive.
BAPs remit covers the neuro-psychobiological foundation of brain function and behaviour, and its alterations in psychological distress and mental disorders; and the study of treatments for mental disorders (including substance use disorders): targets, mechanisms of action, effectiveness, and tolerability of current and novel treatments.
BAPs activities include: an annual scientific meeting (3.5 days); evidence-based guidelines for the treatment of patients with psychiatric disorders; master classes, certificates in clinical and non-clinical Psychopharmacology; online CPD modules; and publishing the Journal of Psychopharmacology.
About the role
This is a new position within a small team. The postholder will report to the Chief Executive and will also support the Finance and Events Manager, and Digital Content and Communications Manager.
The role will handle day-to-day membership duties and assist in the running of educational and other meetings; there will also be some communications and website work. The post would suit someone who likes variety at work and is technically very adept.
The office is based in Cambridge, however all staff work from home, unless required onsite at the office (very occasionally) or at meetings and educational events held throughout the UK. There will be an onboarding process to help set up the new team member at home and to enable integration into the team.
Working hours are 37.5 hours a week, Monday to Friday, with occasional requirement to be available during the evening and at the weekend (e.g. for the Summer Meeting, which requires staff to be on location on Saturday before the meeting starts on Sunday). The holiday entitlement is 25 days a year plus Bank Holidays for full-time employees, in a calendar year, and there is a pension scheme to which BAP and employees contribute (6% and 5% respectively).
Key Responsibilities
Engage in the acquisition, engagement, retention, renewal, and reporting of members
Support the end-to-end delivery of the educational and Summer Meeting programme of events ensuring all are delivered successfully, within budget and meet their objectives.
Contribute to booking event facilities, the setting of plans, objectives and timescales of events and proactively identify if these need to be altered.
Support on the onsite delivery of events.
Ensure that event plans include the ability to accommodate recording, and virtual or hybrid alternatives as required using external support.
Liaise with a variety of BAP contacts including members, guest lecturers, delegates and external stakeholders
Draft a range of written materials, e.g. meeting notes, briefing documents or reports for Council, speakers, and meeting organisers
What you will be doing
Membership Approve all new applications made between Council meetings
Write to new members requesting their pro-rata subs
Add new members to the database once payment has been made
Pass details of new members to Sage Publishers for access the BAP Journal
Notify new members on how to access the Journal
Annual members check with Sage list
Produce figures for Council Meetings
Update membership subscription payments with bank payment and oversee direct debit processes
Produce annual figures for the General Secretary to present at the AGM
Ensure membership data is clean and up-to-date
Meetings Summer Meeting
Attend the Summer Meeting and provide assistance where necessary
Arrange blogging/tweeting using bursary list
Check speaker declarations of interest, biographies, photos and abstracts
Liaise with Finance and Events Manager and Council re Buddy Scheme
Create event on Eventbrite for and advertise the Public Lecture
Ensure all blogs are uploaded during and after meeting
Update council pages with updated members
Email prize winners to request biographies and feedback etc
Clinical Certificate
Attend Clinical Certificate in Psychopharmacology meetings when required
Issue Clinical Certificates regularly to those who have completed three modules
Non-Clinical Certificate (Biennial)
Attend Non-Clinical Certificate in Psychopharmacology meeting when required
External Conferences/Events Liaise with organiser regarding stand space and requirements
Arrange accommodation, travel and courier
Attend conferences, set up exhibition stand and promote BAP
Website and Communications Assist the Digital Content and Communications Manager with basic website admin via CMS
Assist with sending out emails using email marketing software and posting on social media
Maintain mailing lists
General Process and post book orders
Meet regularly with other office staff either in-person, or via Zoom
Attend Council Meetings if required
Assist BAP office staff with ad hoc duties as required

Person Specification
Essential
Excellent level of IT skills and digital competency, including Microsoft Office Suite, and experience of maintaining a membership database
Knowledge of website and social media content management systems
Ability to form strong working relationships and networks with a variety of individuals, including senior leaders working in academia, industry or the NHS.
Excellent written, verbal and interpersonal skills, including editing and proofreading skills, achieving a high level of accuracy
Organised and methodical with the ability to prioritise and manage a varied workload according to importance and urgency
Ability to work in a mostly remote team environment, supporting colleagues and sharing expertise
Flexible attitude to working hours at busy periods
Ability to act on initiative and exercise good judgement
Desirable An understanding of the scientific and academic community
Experience of planning events, communications and social media campaigns
Basic knowledge of HTML
Confidence to make decisions independently.
