This role is based in our London office and our hybrid working model means you are expected to be in the office 3 days per week.
You'll have the following responsibilities
This is a busy role and your core responsibilities include:
Executive & Office Management
• Diary management: Strategically manage and optimise a complex diary, independently prioritising requests, resolving conflicts, and aligning business and personal commitments across the full year.
• Email management: Own and manage the MD’s inbox, implementing efficient workflows to ensure emails are actioned daily and tracked through to completion. Respond independently where appropriate, delegating and escalating effectively.
• Planning & ways of working: Schedule and lead regular planning meetings with the MD to review commitments, agree priorities, and establish service levels, ways of working, and development goals.
• Travel management: End to end coordination of travel and accommodation, anticipating requirements, ensuring cost effectiveness, and maintaining compliance with company policy.
Meetings, Governance & Communications
• Meeting preparation: Partner with content owners to create high quality meeting papers, briefings, and presentations, ensuring the MD is fully prepared at all times.
• Meeting governance: Attend meetings as required, capture actions, and manage a robust closed loop process to ensure timely follow up and delivery.
• Storytelling & data: Edit, prepare, and analyse reports and materials on behalf of the MD and Leadership Team, presenting information clearly and professionally.
Technology, Tools & Processes
• Microsoft 365 expertise: Confidently use the full M365 suite to produce agendas, slides, briefing papers, and collaborative workspaces.
• Technology advocate: Stay up to date with tools and applications, seeking best practice and training opportunities to work smarter. Set up and manage Teams channels for effective collaboration.
• Systems & processes: Act as a subject matter expert on internal systems (e.g. room bookings, catering, finance, travel) and continuously improve ways of working.
• Gatekeeper: Act as the primary point of contact for the MD, screening calls and visitors and managing both physical and virtual office interactions professionally.
• Safety, security & compliance: Ensure all activity complies with company policies, demonstrating strong financial awareness and ethical judgement.
Stakeholder Management & Collaboration
• Build and maintain strong, trusted relationships across the business, navigating stakeholders openly and honestly to maximise efficiency and impact.
• Act as a role model and culture champion, promoting inclusion, wellbeing, collaboration, and social connection.
• Share expertise, offer advice proactively, and collaborate with the wider PA/EA community to raise standards and capability.
• Support leadership team activity, including onboarding new team members and creating reusable onboarding guides.
• Contribute to special projects and discrete ad hoc initiatives as required.
You'll have the following skills and experience
We are looking for a highly capable, proactive Executive Assistant to join the team. This is a pivotal role at the heart of the business, requiring exceptional judgement, organisation, and stakeholder management skills.
You will act as a trusted partner to the Director, enabling them to operate at pace and focus on strategic priorities while ensuring seamless day‑to‑day operations.
You will be comfortable working autonomously, anticipating needs, raising standards, and continuously improving how the office operates.

• Time management and planning: strong skills in planning, organisation and time management, strong grasp of detail, working to deadlines.
• Autonomy: as a self-starter you respond quickly to challenges, working independently using your initiative and seeking guidance only when necessary.
• EQ: emotional intelligence and self-awareness: able to handle office politics or disagreements whilst maintaining personal integrity and awareness of how and when to communicate to help improve relationships and outcomes.
• Relationship building: build strong relationships and develop wide networks internally and externally to exert influence on outcomes, get work done through others, without direct authority
• Communication & attention to detail: expert level written and verbal communication skills with the ability to communicate and influence clearly across all levels of stakeholders and making complex technical information easy to understand.
• Flexibility: flexing to meet the needs of the MD and the business, providing business support as and when required. This may also include travel to other UK sites.
Experience you’d be expected to have
• Significant EA or PA experience.
• Significant experience of managing complex diary and travel itineraries.
• Experience of multi -tasking and delivering to a consistently high standard.
• Experience of delivering with trust and integrity to protect confidentiality
