Job title: Project Support Officer

Job Type: Permanent

Start date: ASAP – Subject to clearance

Duration: Permanent

Salary/ Pay rate/ Benefits: £25k-£35k DOE

Location: Near Southampton - Full time in office 5 days a week for first 3months then Hybrid available 3 days on site

Hours of work: 37 hours per week


Job Summary/Purpose and Role


The Project Support Officer will be responsible for the provision of multiple aspects of project

administration associated with design and build phases of projects. The scope will

encompass all processes within the company from the tendering stage to delivery through

administration of budgets, procurement, planning, project reporting, processing of project

timesheets and recording of minutes.


Key Working Relationships


• Project Managers/Engineers

• Head of Projects

• Workshop technicians

• Support functions – Finance, HR, QHSE

• The job holder shall communicate and liaise with external clients, suppliers and other third

parties as required.


Main Duties and Responsibilities


• To support the Project teams to manage a portfolio of nuclear and nuclear healthcare

projects.

• To assist with preparation of accurate projects and financial records.

• To be a team player, be proactive and help the project delivery team drive progress.

• To update and maintain action registers and chase the team for timely close out.

• To update and maintain project finance tracking spreadsheets.

• To produce minutes of meetings in a clear and concise language and track any actions

through the project actions log.

• To manage document control tasks for the project. Keeping good records of documents

sent and received. This will include management of the Document logs and production of

transmittal.

• To support the maintenance and upkeep of the project Risk Registers

• To support the preparation of internal and external monthly progress and finance reports,

• Collating equipment logbooks

• Utilising/updating web-based report tools.

• Project administration support for design and build projects.

• Manage procurement of bought-out items by producing purchase orders and putting them

through the process laid out in the IMS.

• Help develop and maintain a good working relationship with customers and suppliers.

• To manage the administration required to maintain an up-to-date project calendar, Project

inbox and MS teams’ channel.

• Assist and support Engineers and Project Managers where appropriate.

• Be responsible for the quality assurance of projects.

• Prepared to undertake regular travel in the UK and overseas when required.

• Attend various business meetings as required.

• Any other job duties commensurate with the accountabilities of the post.

• Understanding of GDPR/data protection legislation procedures and requirements in a

highly regulated environment. Comply with GDPR and with CAN data protection policy.

• Comply with the company code of ethics and all polices (including staff handbook) related

to the company corporate documents.

• To be responsible for your own workplace safety. To demonstrate commitment to health

and safety; ensure all statutory obligations are met and the safety of staff, clients and

visitors are in line with the UK and European standards.

• Demonstrating a commitment to health and safety by following the company’s written

procedures and policies, ensuring you are up to date with any training and using any

equipment provided to you for your safety.

• Extending your commitment to those who may visit the organisation but not be familiar

with us; clients, visitors and others ensuring they know how to stay safe on site.
