The Role
Facilities and Workplace Experience Manager at SO ENERGY
Reporting to our Head of People Operations đ
As a Facilities Manager you will play a vital role in ensuring our office environments run smoothly and meet high standards of safety, compliance, and comfort. This is a dynamic, hands-on role that blends operational excellence with health & safety leadership - all in support of a best-in-class workplace experience. You'll be equally at home reviewing a fire risk assessment as you are navigating building security or giving a new starter a tour of the building. Youâll thrive with autonomy and ownership, acting as both a strategic partner and the team member trusted to manage day-to-day operations effectively.
As the first port of call for all things "office" for our people, your friendly, inclusive approach reflects our values and belonging strategy.
Please note this role is an on site role which will require you travel to our Chiswick office and occasionally our Manchester office.
What youâll be getting up to:
Health, Safety & Compliance
* Ensure compliance with all health, safety, and environmental (HSE) regulations across both offices (London and Manchester).
* Serve as the lead competent person for HSE, overseeing risk assessments, COSHH, DSE, incident reporting, and compliance.
* Draft and maintain HSE policies, keeping everyone informed and ahead of regulatory changes.
* Lead on risk management around non-standard activities where required across the business (i.e. in relation to Health and Safety for employees, outside of the office)
* Act as Chief Fire Warden, overseeing fire drills, evacuation plans, and our First Aid provision (with clear oversight of whoâs in, when, and how weâre covered).
* Proactively review fire marshals and first aiders, ensuring we have effective coverage based on real attendance patterns.
Post & Front-of-House
* Be the face of the London office, offering a warm welcome to visitors and supporting team culture while also providing inductions and onboarding tours for new starters.
* Handle post, deliveries, and access/security systems (e.g., key cards, visitor logs).
* Oversee daily office operationsâcleaning, catering, repairs, supplies, and space setup.
* Ensure shared spaces are accessible and meet operational needs.
* Troubleshoot office issues and respond to ad hoc requests, from food orders to printer problems.
* Manage supplier relationships, contracts, renewals, and performance reviews.
* Liaise with landlords and building managers to resolve office or lease-related issues.
* Monitor and forecast facilities budgets, ensuring efficient spend.
* Support office moves and layout/design projects, ensuring compliance and functionality.
* Partner on social events, space planning, and business continuity efforts across teams and locations.
Office Operations
* Oversee the smooth running of daily operations including cleaning, catering, supplies, repairs, and general upkeep of facilities.
* Ensure layouts, operations, and shared spaces meet accessibility standards.
* Maintain supplies and support ad hoc needs - from food orders to printer issues.
Suppliers, Contacts and Budgets
* Oversee supplier relationships - conducting reviews, managing renewals, and onboarding new partners.
* Manage contracts efficiently and monitor performance and service levels.
* Be our liasion point to manage landlords, building managers, and contractors to resolve any site or lease-related matters, communicate anything others need to know and escalate matters where relevant.
* Manage facilities budgets, forecasting costs, and ensuring spend efficiency.
Projects & Day to Day Collaboration
* Support office moves, space planning, and design projects - ensuring they're compliant, functional, and aligned with the employee experience.
* Support social and engagement events, ensuring robust safety and risk management.
* Partner with teams like People Ops, project management, and our colleagues in the ESB organisation to align practices and ways of working across teams and regions.
* Contribute to business continuity planning - from power outages to major incident response.
This role will be a great fit if:
Essential:
* You have strong knowledge of UK health & safety regulations and best practices (fire safety, risk assessments, DSE, statutory compliance).
* You have a recognised HSE qualification (IOSH or NEBOSH).
* You have experience managing day-to-day operations and compliance in at least one office location.
* You are highly organised and proactive - you take ownership and handle multiple tasks with minimal supervision.
* You have a friendly and approachable energy - you enjoy being a go-to person and thrive in a service-focused role.
* You feel comfortable and confident with the physical aspects of the role - such as moving equipment, setting up rooms, and basic troubleshooting.
Desirable:
* You have experience with office fit-outs or workplace design projects.
* You are familiar with hybrid working practices and adaptable space planning.
* Your are experienced in overseeing multiple office sites or region.
