Role Overview We are seeking a well-organised and proactive Part-Time Facilities & H&S Administrator to support our day-to-day site operations and ensure ongoing control and compliance with facilities, health&safety, and supply chain. It’s an ideal role for someone with strong administrative experience and a practical understanding of facilities and H&S requirements in a business or workshop environment. Key Responsibilities Facilities & Site Compliance Coordinate planned maintenance, servicing, and repairs across multiple sites. Manage service contracts for compliance-related checks such as PAT Testing, Workshop Equipment Calibration, Fire Alarm Servicing, and Emergency Lighting Inspections. Maintain an accurate contract and servicing schedule to ensure timely renewals and inspections. Monitor and restock office and kitchen supplies (e.g. stationery, refreshments) to maintain essential stock levels. Health & Safety Training Administration Organise and book required H&S training courses (e.g. manual handling, fire safety, first aid). Track and maintain up-to-date records of employee certifications. Ensure reminders are issued for expiring qualifications and work with team leads to schedule renewals. Uniform & IT Equipment Order uniforms for new starters and replacement items for existing staff as needed. Order basic IT equipment (e.g. Phones, Tablet) and arrange for delivery or dispatch to staff across sites. Track distribution and maintain stock records. Administrative Support Maintain clear documentation related to facilities, compliance checks, and training records. Prepare summary reports or updates on outstanding checks, servicing schedules, and compliance status. Assist the supply chain with supplier set up onboarding, including: System updates and Document controller. Skills & Experience Required Previous experience in facilities coordination, compliance admin, or H&S support. Understanding of maintenance compliance requirements such as PAT Testing, Fire Risk Assessments, etc. Strong organisational and time management skills with the ability to prioritise independently. Competent in using Microsoft Office (especially Excel and Outlook) and managing shared tracking files. Confident communicator with suppliers, contractors, training providers, and internal teams.
