A leading global financial services organization is looking to add an experienced company secretarial professional to their growing London office. The role will involve providing a variety of corporate services duties for the Firm and its UK-based clients.
The firm has ambitious plans in London and ha recently moved into stunning new office space. They will be building out London as one of their key strategic hubs moving forward.
Client wise, they work with some of the world's largest financial services institutions an investment managers.
Corporate Administration
* Meeting Management: Organize meetings (including but not limited to Board of Director and/or Shareholder meetings), liaise with clients’ shareholders, and assist relevant committees and Boards.
* Minute Taking: Attend and lead (as appropriate) client meetings; take and record formal minutes to ensure the accuracy of discussions.
* Documentation: Prepare corporate services documentation (including agendas, minutes/resolutions, reports, memoranda, letters, and invoices) using standard office and presentation software.
* Onboarding: Onboard new client business in compliance with internal onboarding policies and procedures.
* Record Keeping: Maintain and secure all statutory books, files, and corporate records.
* Compliance: Perform all regulatory filings in compliance with relevant UK deadlines and statutory requirements.
* Governance: Ensure adherence by the Board with proper corporate governance principles.
* Inquiry Management: Respond to routine inquiries addressed to the CS Team.
* Confidentiality: Abide by the highest standards of professional conduct in managing confidential information and escalate issues to management where appropriate.
* Global Projects: Contribute to and assist with Global Corporate Services Team projects and initiatives.
Managerial Responsibilities
* Assess Team resource allocation and workflow efficiency.
* Assist with the recruitment and training of other Team members.
* Conduct performance reviews and provide ongoing mentorship for direct reports.
Other Responsibilities
* Perform other job functions and ad-hoc projects as required.
Experience:
* Completion of the CGI (formerly ICSA) Program or equivalent Executive Office Administration qualification.
* University graduate with a degree in Maths, English, Finance, or Accounting.
* 5+ years in a similar Corporate Secretarial role in the UK, including direct Board experience.
* 3+ years of experience leading or managing a team - previous people management experience is essential as this role has two direct reports.
* Investment Funds experience is essential and experience with UK / Irish / Luxembourg / Cayman Funds is essential
