To provide efficient and effective secretarial and administrative support for the Children & Families and Criminal Justice Social Work service.
Responsibilities
Provide comprehensive secretarial and administrative support for the Children & Families and Criminal Justice Social Work service. Undertake tasks and processes to support the work of the Children & Families and Criminal Justice Social Work service. Manage and support administrative and clerical staff. Provide confidential secretarial and administrative support to the Children & Families Social Work senior management team. Participate in the Council's employee review and development programme.
The Individual
Significant experience in secretarial and administrative work including supervision of staff, figure work, data entry, word processing, composing letters/reports, minute taking, record keeping and filing Experience of working in a busy office environment using relevant technology and equipment e.g. photocopier, email, Intra/Internet HNC (business, administration or management subjects) or equivalent * 4 SQA National 5 grades or equivalent at level 3 or above including English and Maths/Arithmetic * Recognised qualification for word processing, e.g. ECDL or equivalent * Recognised qualification for spreadsheets, e.g. ECDL or equivalent * Effective minute taking knowledge/skills Ability to provide support and supervision to colleagues High level of accuracy in work Ability to prioritise own workload Ability to use initiative in day to day tasks Ability to participate as a team member Effective written and oral communication skills Ability to deliver a high level of customer care Effective organisational and time management skills Self confident and self motivated Ability to listen and accurately minute details of Children & Families social work client meetings - the content of which may be difficult Possession of excellent analytical, evaluative, creative and decision making skills Appreciation and acceptance of, and commitment to the importance of confidentiality Significant experience of operating software applications including Word, Excel and PowerPoint Ability to demonstrate good literacy and numeracy skills Ability to identify and suggest improvements Flexible and adaptable You may need to travel efficiently and effectively between various work locations within Moray to meet the operational requirements of the Service.
