Main duties of the job
Youll be responsible for a wide range of administrative tasks, supporting the day-to-day smooth running of the Practice. Your work will have a direct impact on patient experience and the efficiency of our services.
Typical duties will include (but are not limited to):
Supporting patient registration and appointment bookings
Handling electronic and paper-based information accurately and promptly
Distributing messages and enquiries to the clinical team
Liaising with internal staff and external agencies such as hospitals and community services
Providing general administrative support to the multidisciplinary team

Job responsibilities
The following arethe core responsibilities of the Administration Assistant. There may be, onoccasion, a requirement to carry out other tasks; this will be dependent uponfactors such as workload and staffing levels:
a. Process incoming and outgoing mail
b. File and store records as required
c. Photocopy documentation as required
d. Process changes to patient registration,deduction of record and new patient registration
e. Input data into the patients healthcarerecords as necessary
f. Answer incoming phone calls, transferringcalls or dealing with the callers requests appropriately
g. Welcome patients and visitors to theorganisation, directing requests appropriately
h.Support theimplementation and effective working of Welby Innovate within the practice
i.Manage requests fornon NHS work as necessary
k. Support all clinical staff with generaladministrative tasks as requested
Inaddition to the primary responsibilities, the Administration Assistant may berequested to:
a. Partake in audit as directed by theaudit lead
b. Support reception staff, providing coverduring staff absences
c. Book appointments
d. Complete opening and closing proceduresin accordance with the duty rota
e. There may be, on occasion, a requirementto carry out other tasks. This will be dependent upon factors such as workloadand staffing levels

* GCSE Mathematics & English (C or above) or equivalent
* NVQ Level 2/3 in Business Administration
