The New Golf Club, St Andrews, is one of Scotland's most respected private members' golf clubs.
As we continue to grow and prepare for an exciting future, we have a great opportunity for a talented, motivated and reliable Administrative Assistant to join our team.
This role is central to the smooth running of the Club office and Retail operations, requiring excellent organisational and communication skills, proficient IT skills and outstanding customer / member support skills. The successful candidate will be involved in a wide variety of duties, from membership administration and database management to merchandising and online retail.
The position is based at the New Golf Club in St. Andrews, hybrid or remote working is not a possibility. It is a full-time position, 35 hours, Monday – Friday. Outside of business hours working is remunerated.
Responsibilities
* Reception duties including dealing with telephone calls, emails, and post; attending to enquiries; communicating with members on all club services.
* Taking care of member admissions, which includes processing new member applications, maintaining waiting lists, raising subscription invoices, issuing membership cards.
* Assisting with the processing of annual subscriptions.
* Supporting the day-to-day effective running of the retail shop: attending to customers and processing sales; merchandising the shelves; replenishing stock. Also assisting with the maintenance of the online shop.
* Assisting with the administration of club competitions as required, including processing competition fees, labelling scorecards, issuing prizes, and organising team transport.
* Making tee time reservations with the Links Trust on behalf of competitors in certain eligible club competitions.
* Taking apartment reservations and payments using the relevant booking software.
* Assisting the General Manager and heads of department with any administration of daily activities or club projects/events.
* Performing general administration duties, including, for example: making updates to membership records on the database software; filing; typing; creating and printing posters.
* Assist with Club projects and events as required.
* Maintain a well-organised, clean, and professional office environment.
* Offer friendly and efficient support to Members and their guests.
About You
* Proficient in Microsoft Office 365, specifically Excel, Word & PowerPoint. Expertise across 3 applications is preferred.
* Previous experience in office / reception administration position or a golf/hospitality environment preferred, though not essential.
* Strong written and verbal communication skills; confident in handling enquiries by phone, email, and in person.
* Highly organised with excellent attention to detail and accuracy.
* Capable of working independently, taking initiative, and successfully managing multiple priorities.
* Positive, adaptable, and eager to learn, with a genuine interest in supporting a growing team and providing first class services to our members.
* A collaborative team player who contributes positively to the wider Club environment.
