Secretarial Coordinator
Complete step-away from being a PA, no allocation, to work as a Secretarial Coordinator directly with the Senior Secretarial Manager as their number 2 at a top-tier US law firm renowned for excellence.

• Hybrid working (4 days office / 1 day remote)
Working with the Senior Secretarial Manager, you’ll play a key role in ensuring seamless day-to-day coordination across all Secretarial Groups – you’ll drive high standards of support delivery and act as a trusted Deputy in the Manager’s absence.
Secretarial Coordinator Key Responsibilities:
• Provide administrative and operational support to the Senior Secretarial Manager
• Coordinate secretarial allocation for new joiners, discuss changes with secretaries, fee earners, and the Senior Secretarial Manager
• Manage work overflow during busy periods, liaise with secretaries and fee earners, and coordinate wider team support if needed
• Plan ahead for team holidays/absences and determine need for float or internal cover
• Assist the recruitment of new team members, review CVs, mark test documents, and support the Senior Secretarial Manager throughout the interview process
• Play a key role in the secretarial appraisal process, coordinate feedback collation from fee earners, provide input for probation and performance appraisal discussions
• Assist with team meetings, preparing the agenda, ensuring minutes are taken and distributed
Secretarial Coordinator Skills & Requirements:
• Previous experience in a support/administrative role within a law firm
• Extensive knowledge of MS Word, MS Excel, MS PowerPoint, MS Outlook, and other MS Office products is essential
• Excellent communication and organisational skills with the ability to communicate with staff at all levels, including Partners and clients
• Fast and accurate typing with excellent attention to detail
• Must be willing and flexible
