ADMISSIONS OFFICER

Job Description

Outline

The Admissions Officer plays a vital role in student recruitment at Claremont School and in supporting the Admissions Team to meet enrolment targets. Reporting to the Head of Admissions, this role supports and contributes to the day-to-day admissions process, promotes Claremont as the school of choice in the local area, and communicates the school’s core message of Amazing Learning.

Acting as a true ambassador, the Admissions Officer engages with prospective families, agents, and the wider school community—including teaching and support staff—to ensure a seamless, customer-focused experience. Through personal interaction, the post holder will help convey the school’s values and educational vision with clarity and impact.

Key Responsibilities

* Recruitment and enrolment management:
* Manage and track admissions enquiries via HubSpot CRM, ensuring all stages are logged and followed up.
* Provide timely, personalized responses to families, ensuring a warm, efficient admissions experience.
* Coordinate visits, interviews, and tours in person and online, briefing staff accordingly.
* Follow up to encourage progression to registration and application.
* Record reasons for families not proceeding, maintaining up-to-date data.
* Coordinate entrance testing and interviews with academic staff, including Learning Support if needed.
* Organise taster days and communicate with staff to ensure positive experiences.
* Invite new families to transition events and complete onboarding steps.
* Oversee completion of enrolment documentation and record keeping, including for international students (CAS, visas, travel).
* Send tailored ‘Joining Packs’ with academic and onboarding information.
* Update pupil roll changes and support student forecasting data.
* Coordinate scholarship applications and communicate outcomes.
* Networking & Building relationships:
* Promote Amazing Learning by sharing student successes to drive enquiries and retention.
* Assist in planning Open Events and engagement activities with local businesses.
* Coordinate Familiarisation Visits for agents, ensuring professionalism.
* Collaborate with administrative staff for smooth internal coordination.
* Support post-enrolment communication to new families for a welcoming experience.
* Implement school’s customer loyalty initiatives to improve satisfaction and retention.
* Enrolment targets & Data management:
* Provide accurate enrolment and retention data to inform strategies.
* Assist in reporting, highlighting insights for operational decisions.
* Maintain CRM data accuracy and track progress against targets.
* Support retention initiatives through feedback and early intervention.
Other Responsibilities

* Undertake other tasks as assigned by the Principal and Head of Admissions.
Candidate Profile

* Excellent organisational skills and proficiency in Microsoft Office, with experience in iSAMS, HubSpot, and Engage preferred.
* Strong customer service and problem-solving skills.
* Articulate communicator with a professional presentation style.
* Culturally sensitive and fluent in English; multilingualism is a plus.
* A team player with high attention to detail and ability to multitask and prioritise.
* Qualifications: Degree or relevant experience.
* Experience in customer service, data management, and CRM systems is desirable.
