The Executive Assistant will be a highly diligent, conscientious, and positive individual approaching work given by the Executive Team with the utmost discretion and confidentiality.
The Executive Assistant will play a pivotal role in enabling the smooth and effective operation of the Executive Leadership Team.
Responsibilities
* Support coordination of internal and external meetings, including preparation of agendas, briefing packs, presentations, and follow-up actions.
* Support the organisation of Board and Executive Leadership Team meetings, including document collation, minute-taking, and maintaining accurate records.
* Handle confidential information with discretion and maintain a high level of professionalism.
* Support arranging UK and international travel, accommodation, and itineraries through the Company’s Travel Perk platform.
* Prepare correspondence and presentations on behalf of senior leaders.
* Assist with the coordination of internal communications, ensuring messages from the ELT are delivered accurately and on time.
* Support the delivery of key corporate projects, tracking actions and ensuring stakeholders remain aligned.
* Assist in preparing materials for client meetings, industry forums, and external events.
* Conduct research and gather information to support decision‑making and strategic initiatives.
* Play a supporting role in company events, workshops, and leadership off‑sites.
* Build strong relationships across the business.
* Support office management responsibilities, including office supplies.
* Liaise with the company’s fleet management on car leases, renewals, changes and other compliance requirements.
* Support car fleet administration when needed.
* Support other areas of the business during peak times when requested.
* Support business transition projects where appropriate.
* Carry out any other duties that may be reasonably required and notified by the Company.
Skills & Experience
* Excellent communication skills and ability to balance requests from multiple stakeholders.
* Experience working with the Managing Director, Executive Leadership Team (including HR Director, Finance Director, Client Services Director and Process Management Director) – proactive, positive and quality‑focused.
* Ability to work on own initiative, autonomously, as well as part of a wider team.
* Competent use of technology, including the Office 365 suite.
* Displays confidence, professionalism, and persistence.
* Experience as a senior administrative professional, ideally within financial services, insurance, loss adjusting or a similar professional services environment.
* Strong organisational and time management skills.
* Qualifications: English and Maths GCSE (grade 4/C or above) and 3 years’ experience in an administrative/support role.
