Costello Medical is seeking a Business/Commercial Administrator to join our External Engagement team. This role supports business development, commercial negotiations, and administrative tasks to help the company win and deliver projects that improve healthcare worldwide.
Job Details

Key Responsibilities
* Support the administration of commercial negotiations with clients, preparing background materials, gathering communications, and coordinating key documents.
* Use Excel to prepare pricing documents (rate cards), calculate rates, and produce proposals.
* Maintain commercial information in internal systems and update records across CRM and contract management systems.
* Manage the team’s shared inbox, reply to queries, triage requests, and ensure timely responses.
* Organise and support regular team meetings, including scheduling, agenda preparation, note‑taking, and action circulation.
* Contribute to business development campaigns, conduct client pipeline research, and support client partnership surveys.
* Help maintain the database of client contacts and support broader business development processes.
* Draft, respond to, and file emails, and support annual projects such as company‑wide rate card reviews and strategy meetings.
* Provide general administrative support to the Commercial team and, when required, to the wider Operations department.
* As experience grows, contribute to developing negotiation ideas, support the team’s business development strategy, and identify opportunities to streamline commercial processes.
Qualifications
* Degree, apprenticeship or high‑level qualification in a relevant subject (minimum 2.1 or equivalent).
* Strong Excel skills, including basic formulas and data accuracy.
* Excellent written accuracy, attention to detail, and ability to critically review presentation, style, and content of work.
* Exceptional organisational and time‑management skills with a proven ability to meet deadlines.
* Understanding of project objectives and ability to see how tasks feed into the wider strategy.
* Customer‑service orientation and ability to tailor communication style to varied audiences.
* High productivity and effective use of time and resources.
* Professionalism, discretion, and tact when handling confidential information.
* Excellent proficiency in written English and arithmetic.
* Fluency in Word, Excel, PowerPoint and Outlook.
* Interest in using technology and AI tools to enhance efficiency and processes.

Hybrid Working Policy
During the normally 6‑month probationary period, staff work from home one day per week. After probation, up to half of working time may be at home, measured across a two‑week rolling period.
