The role is client-facing and candidates must exhibit exceptional customer service, presentation and communication skills across all levels of the business including the senior management suite, high-net-worth individuals and our colleagues. The Workplace Support role reports directly to the Soft Services Manager and focuses on delivering workplace standards and customer services across the site with an emphasis on Customer Experience.
Responsibilities
* Respond to customer requests in compliance with agreed service levels
* Provide updates to internal and external clients, using written and verbal communication
* Support other facilities teams to ensure a good quality and timely level of service for the overall FM team
* Maintain up-to-date records in support of site maintenance where required
* Ensure HSSE (health, safety, security and environmental) policies and requirements are adhered to and promote a positive culture within the team
* Ensure PPE and tooling are kept safe, secure and in good condition
* Identify and implement opportunities for continuous improvements to service, HSSE standards, and cost-saving measures
* Any reasonable request in support of the team
Workplace Management
* Manage all inquiries and issues tactfully and confidently
* Conduct daily site walk checklists identifying and recording defects, following up until completion
* Ownership of H&S in your areas of responsibility, reporting, escalating and making safe any dangerous conditions immediately
* Check and audit all workspaces and collaboration spaces to ensure they are ready-to-use when unoccupied
* Ensure office equipment is in good working condition; report and rectify issues promptly
* Liaise with colleagues and vendors to support workspace functionality
* Ensure services are delivered within SLAs and compliant with applicable laws and regulations
* Consolidate workplace issues and identify areas for quick improvement
* Coordinate and carry out office moves, furniture builds and repairs
Goods In/Out
* Collect mail from Royal Mail sorting office
* X-ray all incoming items
* Drive the van around site and make deliveries
* Accept courier deliveries and recording them
* Deliver courier items (including client tracking queries and package delivery/collection requests via email)
* Vehicle safety checks and adherence to driving standards
Administrative Duties
* Corrigo management
* Auditing and tracking ongoing issues and concerns
* Proactive and reactive assignment to workplace requests and concerns
* Report creation for recurring issues or concerns
* Administer workplace policies (clean desk, appropriate use of space, etc.)
* Additional duties as assigned by Soft Services Manager
Hours of Operation
* Role is 40 hours per week
* Standard shifts typically 7:30am–4:30pm
* Business coverage requirements may change
* Overtime or extra shifts depend on business levels
Experience
* 1–3 years prior experience in workplace management
* Experience in a corporate environment is preferred
Skills
* Confident, friendly and engaging

* Proactive and approachable
* Good knowledge of Health, Safety and Environmental issues; able to interpret and implement policy, regulations, and legislation at operational level
* Experience with email and Microsoft Word
* Reliable and conscientious, willing to learn and adapt to new environments
* Experience of working under pressure and ability to prioritize workload to meet deadlines
* Able to manage a wide variety of jobs daily
* Able to interpret CAD drawings and identify service layout and limitations
* A full clean driving license with minimum 3 years driving experience
