Caledonian Concepts proudly organise the most iconic mass participation events in Scotland including the Baxters Loch Ness Marathon & Festival of Running, the Etape Loch Ness cycle sportive and the Inverness Half Marathon. In 2025, 22,000 participants attended the three events raising an estimated £1 million for charity.
The events inspire activity amongst all ages, demographics and ability. The company was acquired in 2024 by London Marathon Events and will continue to be run from Inverness, retaining its unique heritage and identity.

The Role
Role Title: Event Administrator
Part time (24 hours per week) with minimum of 2 days in office per week
Start date: 5th January 2026
Key Responsibilities
You will play a vital role in ensuring the smooth operation of all Caledonian Concepts’ administrative tasks. Working closely with our small, growing team, you will provide excellent customer service, office management, and admin support for the planning and delivery of our events.
* General office management (management of office supplies, post, utilities etc.)
* Provide customer support, responding to participant enquiries (email and phone) in a timely and professional manner
* Merchandise fulfilment and stock management
* Source and book accommodation and travel for staff and contractors
* Admin support for all registration processes
* Support the planning and delivery of events, including:
* Submitting licence and permit applications
* Sourcing, coordinating, and booking traders, bands, and entertainment
* Providing on-the-ground support at events
* Assist the wider team with ad-hoc tasks and projects across all aspects of event planning and delivery
Skills & Experience
* Proven experience in an administrative role or similar position
* Exceptional organisational and time-management skills with strong attention to detail
* Ability to work flexibly across different project areas
* Positive attitude with a proactive approach to problem-solving
* Excellent communication and interpersonal skills, both verbal and written
* Ability to articulate information clearly to participants and handle issues or complaints calmly and sensitively
* Full driving licence
* Familiarity with online project management tools (desirable)
