Each year a third of the Defence budget is spent on Support. The Defence Support Organisation sits at the heart of providing support to the UK's Armed Forces. This 850-strong organisation works with both civilian and military personnel across Defence and exists to ensure that wherever Defence is operating, it can outpace, outwit and where necessary out-fight its adversaries. We provide logistic and engineering support to UK Armed Forces at home and abroad and have a broad remit spanning from planning to operational delivery. We are also driving a results-orientated transformation agenda to modernise Defence's logistic and engineering support services and contributing towards the Defence strategy to meet the UK Government goal of Net Zero 2050. Within this role the individual will provide administration support to the Duty Holder/Head of Establishment to ensure, and assure, legal, regulatory and policy compliance within area of responsibility. This position is advertised at 37 hours per week. Strategic Command is going through a significant transformation programme which aims to improve the way the Command conducts its business and delivers for Defence and the nation. As a consequence of this, all posts within Strategic Command Headquarters and in time the wider organisation, are/will be subject to review and potential changes as we continuously improve across the period of the transformation programme. These changes may be minor or could be more substantive and will generate new opportunities. Throughout, the Command’s transformation programme is committed to following the MOD’s framework on managing and supporting people through the change process and places an emphasis on early and open consultation and engagement with the Command’s personnel and Trade Unions. Job Description Deliver administrative support across specialisms as instructed and contained within the MOD UKStratCom Catalogue of Services and assignment specifications. Act as a key point of contact for internal and external specialism requests, providing advice and guidance, escalating to more senior colleagues where appropriate. This also includes being point of contact (POC) for stakeholders and contractors to issue keys, reporting/logging faults with Ancala and VIVO and continuously monitoring fault updates weekly. You may also be required to conduct building custodian checks including daily panel health checks, Fire Call Point checks and Legionella checks. Own logistical elements of activities and events such as arranging travel, booking venues or coordinating visits. Additionally, you will be receiving and distributing any incoming site post, escorting VIPs, booking conferences, procurement e.g. Leidos demands (PPE), conduct scale calibrations and submit FFO heating oil demands. You will manage resources of vehicles, including control of day-to-day operation of MT assets on-site to ensure that all legitimate transport operations are satisfied, making most efficient use of resources IAW JSP 800 Vol. 5. This includes booking and authorising hire cars through the Clarity system. Support internal communications such as updating internal websites, distributing key information and acting as a focal point for other internal communications. Dissemination of key information, newsletters, and awareness campaigns, TRIAD alerts. Issuing keys to contractors. Manage document production, processing and maintenance as instructed e.g. any relevant papers for meetings including writing minutes, processing One Page Business Cases, processing security clearance documents etc. This also includes issuing fuel cards, closing vehicle schedules, managing the Fuel Account and the disposal account for skips. Support the Business Support Manager with change implementation including liaising with other areas of the business to coordinate business change implementation activities. Support in the production of a variety of documentation, including demands, reports and clearance documentation. This includes recording all Demand, Receipts and Issues for audits, producing returns for F&L account and demanding, issuing and accounting for fuel. Coordinate a small labour team, providing coaching and developmental dialogue where appropriate, ensuring daily and weekly tasks are delegated and completed. Person specification To be found successful you must demonstrate the following essential criteria: Excellent and demonstrable IT skills, particularly Microsoft Office. Excellent written and verbal communication skills. Hold a Full UK Driving Licence It would benefit your application should you be able to demonstrate the following desirable criteria: Experience of managing databases. Experience working within an administrative role. Experience of Microsoft SharePoint and Teams.
