1. Role Purpose
Jack Buck Farms is a successful farming business operating approximately 2,200 acres of prime silt land, producing a variety of vegetable and flower crops. Our celeriac brand, "The Ugly One," is well recognised within the UK market. We pride ourselves on delivering high-quality produce with full traceability and consistent supply, whilst maintaining a strong environmental policy and positive employment practices.
The purpose of the Farm Office Administrator role is to provide high-quality administrative, payroll, sales order and accounts support to ensure the efficient running of the farm office. This role is suited to an organised and proactive individual who enjoys a varied workload and is able to work accurately in a fast-paced environment.
The postholder will work closely with a supportive farm management team and will play an important role in ensuring the smooth day-to-day administration of the business.
2. Key Responsibilities
A. Accounts and Finance Administration
* Maintain three sets of farm accounts, including bookkeeping, invoicing, payments and bank reconciliation
* Process supplier invoices and manage payment schedules
* Maintain accurate financial records and support month-end administration
* Liaise with the family, farm managers, contractors, suppliers and professional advisors
* Support the preparation of information required for accountants and external stakeholders
B. Sales Order Processing and Customer Administration
* Enter sales orders into the sales order processing system
* Communicate daily with customers via email and telephone
* Arrange transportation and complete relevant documentation for deliveries within the UK and Europe
* Produce and circulate weekly sales reports
* Inform customers of price changes when required
* Raise customer invoices and ensure these are accurately posted into accounts systems
C. Payroll Administration
* Process payroll for three companies, including both fortnightly and monthly payroll cycles
* Reconcile payroll deductions, adjustments and payments
* Submit payroll information to HMRC in line with statutory requirements
* Administer pension scheme submissions and maintain accurate payroll records
* Ensure employee pay information is handled confidentially and in line with data protection requirements
D. General Office Administration
* Handle correspondence, calls and emails professionally and with discretion
* Provide general administrative and organisational support to the wider farm management team
* Maintain office systems and ensure accurate filing and record keeping
* Procure farm supplies, office supplies and sundries as required
* Provide a calm, reliable and organised presence within the farm office environment

* External advisors (e.g. accountants)
4. Person Specification
Essential Skills and Experience
* Proven experience in a busy administrative role
* Strong organisational skills with excellent attention to detail and accuracy
* Confidence in using payroll and accounts systems, with previous experience in payroll processing and/or bookkeeping
* Strong IT skills, including Microsoft Office (Word, Excel, Outlook)
* Professional communication skills, both written and verbal
* Ability to manage confidential information appropriately
* A flexible, proactive approach and willingness to support the wider business
Desirable Skills and Experience
* Knowledge or experience of agriculture, farming or food production environments
* Experience of handling export/transport documentation within the UK and Europe
* Experience of working across multiple companies or payrolls

6. Working Hours
This is a part-time role of a minimum of 25 hours per week, typically worked Monday to Friday between 8.30am and 2.30pm. Some flexibility may be required during busy periods.
