About The Role
This is an exciting opportunity for a detail-oriented administrator to join our safety team. This role requires the successful applicant to ensure that statutory and internal registers, records, and documentation are maintained accurately, on time, and to a professional standard. You will support effective compliance, governance, and communication across the organisation to maintain a safe environment for all.
Responsibilities
Maintain and update key safety and compliance registers, including (but not limited to):
Risk assessment and standard operating procedures registers
Accident, incident and near-miss logs
Inspection, audit and action trackers
Equipment, maintenance and statutory inspection records
Occupational Health and Safety
Ensure records are accurate, version-controlled, and auditable
Monitor register review dates and flag overdue actions to the Safety team
Format and issue safety documentation using Microsoft Word
Maintain Excel spreadsheets, trackers and dashboards, including basic formulas, filtering and data validation
Collate information for audits, inspections, management reviews and safety committees
Support document control activities in line with internal procedures
Upload and maintain files within SharePoint (where used)
Assist with internal safety communications and updates
Provide day-to-day administrative support to the Safety team
Liaise with colleagues within Callen-Lenz to obtain information and updates
Maintain confidentiality and professionalism when handling sensitive safety and people-related data
Individual Health and Safety
Demonstrate in daily activities a commitment to health and safety in the workplace by always ensuring tasks are performed in the safest possible manner
Report all hazards and incidents that the individual is party to, or observes, in the correct manner.
When required or directed, participate in any health and safety training.
Qualifications
About You
GCSE or equivalent Maths & English (A-C)
Essential
Skills and competencies
Proven experience in an administrative or support role
Strong competence in Microsoft Excel (spreadsheets, formulas, filtering, trackers)
Strong competence in Microsoft Word (formatting, templates, document control)
High attention to detail and accuracy
Good organisational and time-management skills
Ability to manage multiple registers and priorities simultaneously
Desirable
Experience using SharePoint for document management and collaboration
Confidence working with Microsoft Visio files
Familiarity with registers, audits or management systems (e.g. ISO-based systems)
Personal Attributes
Must be a British Citizen or have an existing right to work in the UK
Ability to commit to national and international trave
