The Ministry of Defence employs over 50,000 Civil Servants. Within that,with responsibility for an annual budget of over £10bn, the Army is a major part of the Ministry of Defence and one of its largest operating centres who employaround 12,000 Civil Servants located at over 300 locations supporting the110K regular and reserve soldiers across the Army. This Civil Service workforce isdiverse, with many different functions and professions ranging from police officers, security guards, trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff.

Defence Children Services (DCS) is a Defence delivery organisation, subordinated under Army Regional Command. Our Vision is that we Educate the Child – Support the Family – Defend the Nation. Headquarters DCS is UK based at Trenchard Lines, Upavon and has forward deployed staff all over the world. DCS is responsible for the education and care of children of accompanied Service and Defence entitled personnel in MOD schools and settings; provides advice and guidance in respect of education for service families in the United Kingdom and the wider world.

The Executive (EXEC) is a diverse team of professionals who support the leadership and the operational capability of Defence Children Services. The Chief of Staff is a military officer who co-ordinates the business of DCS and relationships between DCS and Regional Command. The wider executive has responsibility for DCS policy and assurance; the Secretariat function; provides internal and external communications; evaluates risk and facilitates current and future business planning.

The Recruitment Clerk is part of the HQ Executive Team and will work to the Recruitment officer in supporting recruiting line managers across DCS to enable them to sufficiently resource teams in a fair, timely and efficient way that enables continuity of education. We’re a small but dynamic team working in a fast-paced environment, looking for a detail driven individual, with good organisational skills to ensure the smooth running of the recruitment activities. This role will also assist with DCS HQ Executive Admin responsibilities in times of absences.

This position is advertised as full time at 37 hours per week.


Job description

The post holder’s key responsibilities and main duties are:

* Provide admin support to the Recruitment officer in their recruitment Subject Matter Expert duties
* Send and collate personal and professional reference forms for onward submission to recruiting line managers
* Liaise with internal and external stakeholders for recruitment updates and managing the recruitment and referencing trackers
* Triage and manage the Establishment Committee and Recruitment multiuser inboxes
* Act as co-secretary to the weekly Establishment Committee, which includes creating and disseminating the Agenda and Records of Decisions
* Maintain Human Resource Management System position management data to ensure data is accurate and positions are fit for recruitment
* Maintain HR and recruitment information on SharePoint
* Support the Executive Business Manager with administrative tasks

The post holder may be expected to undertake other duties appropriate and commensurate with their grade and the roles and responsibilities of the post, as required by their line manager.


Person specification

You will be required to have the following essential knowledge and experience:

* Have excellent IT skills and abilities including the use of Office 365 applications such as Outlook, Word, Excel and SharePoint
* Excellent communication skills

Desirable:

* Relevant work experience in a recruitment role
* Understanding of Safer Recruitment
* Experience in drafting text, scrutinising business cases and proof reading
