Job Summary:
• The Tenancy Services Co-ordinator will support the Tenancy and Estates Team within Housing Management at Ashfield District Council.
• The role involves delivering effective administrative and customer-focused support to ensure high-quality tenancy and estate management services.
• The postholder will coordinate appointments, manage tenancy-related requests, support housing officers with visits and inspections, and provide front-line assistance to residents.
• This is a temporary 26-week position based at Urban Road, Kirkby, working full-time office hours.
Key Duties/Accountabilities (Sample):
• Provide administrative support to the Tenancy/Estates Team in accordance with established procedures and service standards.
• Maintain and coordinate appointment systems for housing surgeries, estate inspections, new tenant visits and introductory tenancy reviews.
• Administer mutual exchanges, tenancy successions, assignments and permission requests for Housing Officer review.
• Handle telephone and face-to-face enquiries, providing housing advice and resolving customer queries.
• Initiate outgoing calls and gather customer feedback to support service improvements.
• Support Housing Officers during tenancy visits, inspections, safe and well checks and estate-based activities.
• Process requests for TV licences, keys/fobs, screening referrals and other tenancy-related applications.
• Assist with sheltered scheme reviews and refurbishment activities.
• Provide cover for the Lifeline Service where required.
• Maintain accurate electronic filing systems and housing management databases, including data inputting, scanning and retrieval of records.
• Prepare statistical reports and performance information to support management requirements.
• Draft and issue standard and non-standard tenancy correspondence.
• Contribute to team targets and continuous service improvement initiatives.
• Ensure compliance with Council policies, Health & Safety legislation, Equality and Diversity standards and data protection requirements.
Skills/Experience:
• Experience working within a housing management or social housing environment.
• Strong customer service experience, including call handling and face-to-face interaction.
• Experience working within a busy office environment.
• Knowledge of tenancy processes including mutual exchanges, successions and tenancy changes.
• Understanding of social housing issues and their impact on residents.
• Excellent verbal and written communication skills.
• Strong organisational skills with the ability to prioritise workload effectively.
• Ability to work independently with minimal supervision.
• High level of IT proficiency, including Microsoft Word, Excel and electronic record systems.
• Accurate data entry and record management skills.
• Ability to contribute to performance targets and service improvement.
Additional Information:
• The closing date: 18/02/2026.
• Location: Urban Road, Kirkby, Nottinghamshire (office-based).
• Duration: 26 weeks.
• Hours: 37 per week (Mon–Thurs 08:30–17:00, Fri 08:30–16:30).
• Rate: £17.70 Umbrella.
