Overview
Office Operations Manager - London (On-site) at MaxWegener Design. The role leads day-to-day operations in the London office, ensuring a smooth, welcoming, and highly functional workplace, and collaborating with global counterparts to share best practices and continuously enhance our spaces.
Responsibilities
* Lead Onsite Operations: manage day-to-day workplace operations, ensuring smooth, safe, and organized office functions, including space and event planning and space readiness.
* Vendor and Places Team liaison: coordinate with building management, security, and external vendors to maintain efficient operations; oversee vendor performance, contracts, and budgeting; manage invoicing, expenses, and POs for London office vendors.
* World-Class Workplace Experience: ensure the office is a functional, inspiring hub that supports hybrid work and reflects our culture; serve as first point of contact for employee workplace needs.
* Clear cross-channel communication: maintain responsive communication with local teams via chat, email, and in-person touchpoints.
* Workplace insights: collect feedback and monitor key metrics (occupancy, space utilization, service requests) to provide actionable insights to leadership.
* Support Workplace Programs: assist with local implementation of global programs, including food, supplies, sustainability, and engagement initiatives.
* Support Internal Events & Experiences: plan and execute onsite events, including team days, executive briefings, customer meetings, and cultural moments, in collaboration with Global Events and IT teams.
* Safety & Compliance: collaborate with Security and Legal to maintain a safe and compliant workplace; support health and safety training and risk assessments; assist with emergency preparedness and incident response.
* Escalate Maintenance Issues: oversee and escalate office maintenance as needed.
* Scale Smartly: assist with onboarding for new hires and long-term workplace planning.
* Support Regional Places Team: perform administrative tasks, respond to tickets and inquiries, and provide holiday coverage including onsite front desk support for London as needed.
Requirements
* 5+ years of experience leading office operations teams, ideally in fast-paced, high-growth environments
* Experience managing a high-profile office with significant employee and visitor presence
* People-first, service-minded with a friendly, professional presence
* Strong vendor management skills, including experience with RFPs
* Clear and confident communication across all levels and time zones using Google Workspace
* Highly organized, detail-oriented, and proactive
* Ability to thrive in fast-moving environments, stay calm under pressure, and develop creative solutions
* Experience collaborating cross-functionally with IT, Security, People Ops, and more
* Hospitality mindset and passion for building inspiring, functional spaces
* Ability to commit to onsite full-time
* Familiarity with UK occupational health and safety standards
