Role Overview
The Operations & Administration Coordinator will provide cross-departmental support across procurement, finance, compliance, customer service, and general administration. The role combines data management, supplier/customer onboarding, reporting tasks, and administrative duties. The ideal candidate will be organised, confident managing large datasets, proactive in decision-making, and able to work to deadlines with minimal supervision.
Key Responsibilities
Procurement & Supplier Management
* Update stock information and lead times on an ongoing basis.
* Chase and monitor open purchase orders to ensure timely delivery and resolution of issues.
* Maintain and update supplier onboarding documentation
* Perform annual supplier credit checks.
* Maintain/update supplier accounts with required analysis data
Data gathering, reporting & Compliance
* Extract and import data into Excel reports
* Filter and identify missing information
* Add missing data using supplier information
* Prepare and submit data annually to the required services
* Take ownership of the process, using judgement and initiative to complete assumptions when necessary.
Administrative & Office Support
* Complete supplier forms and maintain supplier-related documents.
* Manage online portals as required.
* Print and send sales invoices.
* Order stationery and maintain office supplies (milk, coffee, etc.).
* Book food for meetings and provide hospitality support.
Essential
Skills & Experience Required
* Strong written and spoken communication skills.
* Experience using Sage 200 or similar accounting systems
* Good Excel skills, including:
* Filters
* Sorting and rearranging data
* Basic formulas (VLOOKUP, COUNTIF preferred)
* Ability to work with and process large amounts of data accurately.
* Strong organisational skills with the ability to prioritise tasks.
* Ability to meet strict deadlines (particularly regulatory submissions).
* Attention to detail and a high level of accuracy.
* Proactive approach with the ability to take ownership and make informed decisions.
Desirable
* Experience with WEEE reporting or similar compliance processes.
* Background in procurement, supply chain, or data administration.
* Familiarity with supplier/customer onboarding processes.

* Reliable, consistent, and able to manage repetitive or detailed tasks.
* Able to work independently while communicating effectively with multiple departments.
