Manpower Planning Coordinator
Esholt Office Based Role, BD17 7RH (Monday to Thursday 9am – 5:30pm; Alternate Friday 9am – 1pm & Saturday 8:30am – 12:30pm)

We are looking for a highly organised, relationship‑focused Manpower Planning Coordinator to support our Commercial and Senior Leadership Teams. You will thrive in a fast‑paced environment, enjoy problem‑solving, and help ensure our clinics run smoothly across the UK. This role is office based within the probation period so that we can give you full support, training and the confidence to work at home once you have passed your probation.
What You Will Do
- Reporting to the Planning & Resource Manager
- Coordinate cover for optometrists, audiologists, dispensing opticians and our client experience advisors – Right People, Right Place, Right Time.
- Build strong relationships with locums and colleagues across the business (55+ practices and over 450 locums).
- Ensure clinics are fully and efficiently staffed within our manpower model.
- To work with Practice Managers to ensure all clinics are distributed evenly across the week and month, with adequate team levels, and that all supporting documents are completed.
- To be proactive and reactive when additional clinics are needed across the group.
- Maintain accurate schedules, documentation, and internal system updates.
- Work with Commercial and People Teams to ensure aligned, accurate information.
- Manage the locum budget and produce three‑month forecasts for both our clinic outlook and locum spending.
- Flag risks early and propose solutions using data and insights.
- Respond quickly to short‑notice staffing needs and make informed decisions.
- Support senior leaders with planning and reporting.
Who This Role Will Suit
People with experience in recruitment, workforce planning, scheduling, or coordination.
What We Are Looking For
Essential:
- Strong Microsoft Office skills (especially Excel)
- Excellent verbal and written communication
- Analytical
- High accuracy and attention to detail
- Strong multitasking and problem‑solving skills
- Building and maintaining relationships across all levels of the business
- Car driver with a full UK driving license
Bonus Experience:
- GCSE/A‑Level Maths or equivalent
- Experience working with multiple stakeholders in a fast‑paced environment
