The Role
We are seeking a Receptionist for our Bury St Edmunds office. Our Receptionist serves as the first point of contact for visitors including Xperience clients and suppliers. You will represent our organisation in a professional and welcoming manner. The role is responsible for managing the front desk, answering phones, directing enquiries and providing administrative support to ensure efficiency.
Responsibilities
* Greet and welcome all visitors in a friendly and professional manner
* Ensure security procedures are adhered to sign in and sign out processes for visitors and responsibility for creation of access cards for new starters
* Maintain a clean tidy and organised reception area
* Manage receipts of all post and deliveries ensuring its passed to relevant parties and liaise fulfilment
* Assist with administrative tasks as required
Executive Team Support
* Provide administrative assistance to the Executive Team including diary management travel arrangements and expense processing
* Support the coordination of internal and external meetings
* Handle confidential information with discretion and professionalism
* Liaise with stakeholders on behalf of the Executive Team as directed
Health & Safety
* Act as a point of contact for Health & Safety queries and incident reporting
* Assist with maintaining Health & Safety documentation and records for the group
* Support fire safety and evacuation procedures (potentially Fire Marshall activities)
* Aim of taking on Health & Safety representative role
Facilities
* Monitor and report issues related to office infrastructure for all sites
* Maintain and oversee group records to ensure all maintenance up to date and compliant
* Oversee pool vehicles to ensure maintained and serviced appropriately

Experience Required
Essential
* Excellent verbal and written communication skills
* Good time management and ability to prioritise tasks
* Confident in dealing with employees at all levels, clients, suppliers and visitors
* Friendly, polite and professional manner
* Discreet and respectful of confidentiality
* Proficient in Microsoft Word and Excel
* Ability to remain calm under pressure
* Valid Right to Work in the UK (We do not currently hold a visa sponsorship licence)
Desirable
* Previous experience as a receptionist or front of house role
* Previous experience in handling phone systems and general admin duties
* Previous experience using booking or appointment systems
* Previous experience in a Managed Services IT Professional Services organisation
