JOB DESCRIPTION & PERSON SPECIFICATIONJob Title: People Operations OfficerJob Ref No: REQ001570 Contract type: Permanent Hours per week: Full Time - 36½ hours per weekTerm-time only: NoT&Cs: Business SupportBand: Band E (SCP 14 - 17)Salary: £24,779 - £27,037 (PAY AWARD PENDING)Location: Longbridge -South & City College BirminghamPost-holders can be required to work at any College CampusResponsible to: Team Leader for Talent and People Operations Main Job PurposeTo provide meticulous HR administration for the College being the first point of call for all HR matters, policy guidance, management of talent, recruitment and employee benefits, including the employee lifecycle, compliance and vetting, maintenance of employee records and changes in employment. Key Accountabilities and Responsibilities1. Be the first point of contact for all HR operation related enquiries providing first level advice and support to managers, employees and external enquiries. 2. Carry out all pre-employment compliance and vetting checks in accordance with Safer Recruitment, Keeping Children Safe in Education and in accordance with College policy and procedures, ensuring all documentation is appropriately verified. 3. Seek approval from the Director of People Services and the Assistant Director of Employee Relations and ensure all required documentation is received and verified for Non-UK Nationals and those requiring use of the College Tier 2 Sponsorship Licence. 4. Assist with ensuring the Single Central Record is kept up to date on a weekly basis. 5. Assist the Team Leader of Talent and Operations and the Talent Coordinator with recruitment advertising, recruitment packs, Recruitment Fairs and schedules. 6. Manage and action on a daily basis the workflow of the People Services inboxes, in accordance with service KPIs. 7. Assist with the each stage of the employee lifecycle which includes, attraction, recruitment, onboarding, development, retention and separation. 8. Ensure all offer letters, contracts and variation to contracts are issued in a timely manner and in accordance with legislation. 9. Ensure all starters are appropriately pre-onboarded in a timely manner, liaising with relevant departments e. g. MIS, line managers, Learning and Development etc. 10. Assist managers on interview panels, offering advice, guidance and training on interview techniques, feedback to applicants and scoring and decision making. 11. Schedule probationary period review meetings for all new starters and track the completion of supporting documentation for the employee personal records. On receipt of documentation issue to the People Services Advisory Team to review. 12. Assist with ensuring all employee records are accurate and kept up to date. 13. Assist with the annual data cleanse of employee personal records. 14. Assist with the management of employee archive records in accordance with the College Retention Policy. 15. Assist with the weekly collation and issuing of People Service metrics to Senior Leaders and line managers. 16. Assist with ensuring the monthly payroll submission is updated to reflect new starters, leavers and any other contractual changes to ensure accuracy at all times. 17. Assist with the administration of employee resignations and the issue of exit questionnaires. 18. Prioritise and manage own workload in a timely manner adhering to department KPIs at all times. 19. Assist the People Services Employee Relations Team as and when required. 20.
