Position: Foundation Coordinator
Location: Remote (regular travel to Milton Keynes, Chertsey and London)
Contract Type: 12 month (Fixed Term Contract)

The DHL UK Foundation are looking for a Foundation Coordinator to help deliver the Helping Hands programme and to provide organisational and administrative support to the team. The person would be responsible for managing Helping Hands applications with support from the Foundation Manager.
Who are the DHL UK Foundation?
The DHL UK Foundation is a registered charity that works in partnership with the DHL businesses in the UK. Through grant making and colleague engagement, the Foundation supports disadvantaged young people prepare for the world of work and has an ambitious vision to help end youth unemployment. Helping Hands is a Foundation-funded programme intended to provide assistance for DHL colleagues and pensioners in times of financial hardship.

What are the key responsibilities of this role?
1. Supporting DHL Foundation Manager with processing Helping Hands applications
2. Maintain frequent communication (via telephone and email) with Helping Hands applicants, whilst maintaining confidentiality and obtaining additional evidence from Helping Hands applicants as required
3. Maintain a high level of professionalism and demonstrate empathy and resilience throughout all communications with applicants.
4. Updating the application forms on the online portal and maintaining and updating the Helping Hands tracker.
5. Preparing application summaries and recommendations for review to reach a decision on the support to be provided.
6. Advising applicants of the decision outcome and arranging support ( ordering vouchers or requesting BACs payments as appropriate)
7. Noting actions and taking minutes during team meetings and circulating these to the team in a timely manner
8. Supporting the team as necessary with ad hoc duties, including but not limited to, onboarding new team members, updating on-boarding manuals, and updating Salesforce database
9. Managing the implementation of the decision, arranging vouchers or requesting BACS payments as appropriate
10. Arranging monthly team meetings including but not limited to setting up diary invites and arranging booking and other logistics
11. Meeting agenda prior to each meeting for Foundation Director review

12. Previous proven experience within an strong administration capacity
13. Previous experience working within a charity/corporate partnership - Desirable
14. Proficient in utilising Microsoft Outlook, Excel, and PowerPoint
15. Excellence verbal and written communication skills.
16. Able to show empathy and resilience.
17. Adaptable and proactive work ethic with the ability to work independently and as part of a team in a variety of settings
18. Happy to conduct ad-hoc business travel to Milton Keynes, London and Chertsey.
