Join the UK’s premier parcel & post delivery company We’re looking for an organised and proactive Office Administrator to join our Operations team. In this fast-paced and varied role, you’ll play a key part in coordinating import and export shipments from start to finish. Working closely with airlines, GHAs, gateways, depots and drivers, you’ll help ensure smooth operations and deliver an excellent customer experience. What You’ll Do You will support the day-to-day running of our operation through accurate administration, effective communication and strong attention to detail. Key Responsibilities Create accurate collection and delivery paperwork for hauliers. Ensure goods are collected from airports and gateways in line with SLA. Record shipment data and daily activity on Excel and internal systems. Report discrepancies to management. Book and optimise inbound/outbound vehicles in line with SLA and CPU. Produce warehouse paperwork (driver lists, space utilisation reports, seals). Ensure goods are delivered to GHA within delivery cut-offs. Cross-check inbound volumes against allocations. Create and dispatch vehicle load plans. Send pre-alerts to airlines and agents. Manage ULD collection/delivery paperwork and ensure cut-offs are met. Record ULD movements and respond to all ULD-related queries. Act as a key point of contact for airlines, GHAs and third-party drivers. Keep seals log updated for audit purposes. Schedule transportation services, plan routes and assign drivers. Liaise with managers, drivers and internal departments. Support safe working practices for all employees. Carry out ad hoc duties as required. What We’re Looking For Proficient in MS Office (Word, Excel, Outlook). Strong written and verbal English and Maths skills. Ability to work using your own initiative. Good communication skills. Strong decision-making and problem-solving ability. Good attention to detail. Basic understanding of air import/export processes (advantage). Team player with the ability to communicate effectively at all levels.
