Business Management Personal Assistant (EO) Location: St James Park Hybrid Working Pattern Salary: 17.54 per hour (paid weekly) Grade: Executive Officer (EO) Reporting to: Business Manager (HEO) Temporary assignment for 12 months with a possible extension About the Role We are looking for a highly organised and proactive Business Management Personal Assistant to support the Director/Deputy Director and wider team. This is a varied and fast-paced role at the heart of the business. You will play a key part in supporting senior leaders, helping to deliver business priorities, and ensuring the smooth running of day-to-day operations. You will contribute to building a strong business management function by delivering high-quality administrative and organisational support. Key Responsibilities As a Business Management Personal Assistant, you will: Executive Support Provide dedicated PA support to the Director/Deputy Director Manage inboxes, prioritising correspondence and responding where appropriate Coordinate complex diaries and scheduling Meetings & Coordination Organise meetings, including Senior Leadership Team (SLT) and team meetings Prepare agendas, track actions, and produce meeting summaries Take minutes for non-casework meetings Support team events, away days, and training sessions Business Management Collate and manage key management information (e.g. weekly briefings, staffing data, compliance reporting) Maintain team distribution lists and records Support bonus and recognition processes Onboarding & Team Support Coordinate onboarding for new starters, including IT and induction arrangements Provide basic IT support and guidance Assist with recruitment administration Finance & Operations Process expense claims and arrange travel bookings Handle finance and system queries (e.g. Omnidox) Coordinate stationery and office resources Support corporate events and senior leadership activities Wider Team Responsibilities Participate in team rotas (e.g. post handling, inbox management) Provide cover for colleagues during periods of leave Undertake ad hoc administrative tasks as required About You We're looking for someone who is: Highly organised with excellent attention to detail Able to manage multiple priorities in a fast-paced environment Confident working with senior stakeholders A strong communicator with good written and verbal skills Proactive, flexible, and a team player Comfortable using IT systems and learning new tools quickly What We Offer A varied and rewarding role supporting senior leadership Opportunities to develop your skills within business management A collaborative and supportive team environment Access to learning and development opportunities Additional Information This role aligns with the Civil Service Success Profiles framework and will be assessed against relevant behaviours.
