We are looking to appoint a motivated, reliable, and hardworking admin support assistant to join the building safety and asbestos teams within the housing Asset Management department.

The position will be a hybrid-role supporting the building safety and asbestos team. As an admin support assistant, you will be providing accurate and timely administrative and performance support to service managers and operational teams.
About you
As an admin support assistant, you will bring to the role:

About the role
The housing section undertakes a vast amount of construction activities in a variety of different areas. The work ranges from general repairs to extensive technical works on high rise blocks.
The admin support assistant will provide support to both the asbestos and building safety teams. The asbestos team support the management of asbestos in housing assets owned by Leeds City Council, whilst the building safety team is responsible for ensuring that housing assets – particularly high-rise buildings – are safe and compliant in line with the Building Safety Act 2022.
As well as forming working relationships with internal housing teams, you will also be required to work alongside other stakeholders such as tenants, contractors, partner agencies, and councillors.
The role will be primarily based at the Leeds Building Services office and the Print Unit in Seacroft, with flexibility required to attend other office locations as needed. The position also includes opportunities for home working.

Job purpose
16. To provide operational support to the asbestos and building Safety team, liaison between customers, service providers and internal teams.
17. Frontline interface for the service to ensure that problems and issues are addressed and resolved promptly, informally and with satisfactory, customer focused outcomes.
18. To accurately record correspondence within council systems and to work with external and internal partners in-order to develop appropriate solutions/responses to service-related issues.
19. To support the Asset Management department by undertaking high quality administrative services as required.
Responsibilities
20. To work alongside and provide support to asbestos and building safety officers undertaking their daily roles. This includes liaising with Leeds City Council’s designated asbestos contractors and working with council tenants.
21. To order asbestos surveys, asbestos removals, and air tests with asbestos contractors and tenants.
22. Accountability to ensure that all service correspondence, complaints, enquiries and requests for information are handled effectively, diligently and within service standards.
23. To provide prompt and accurate information in-relation to requests from internal stakeholders including direct liaison with tenants and leaseholders, elected members, contractors and other parties.
24. Prepare and distribute customer correspondence in-order to support the delivery of the service including letters and emails.
25. Manage all activities in compliance with legal, regulatory, contract and internal requirements.
26. Maintaining up to date computer-based and manual filing systems
27. Checking invoices for completed work in preparation for submitting for payment, in-line with the appropriate internal policies and procedures.
28. To operate relevant ICT packages e.g. word, excel, publisher, databases, spreadsheets, internet, mail merge. This also includes Leeds City Council software packages such as Civica CX and Keystone.
29. Continually drive a value for money, customer focused service.
30. Take ownership for operational issues and manage relationships with all stakeholders to ensure effective and efficient service delivery.
