The role
Provision of a full administrative service to a team of surveyors within the Property Management business line.
Responsibilities
1. Preparing monthly client property reports, extracting financial/arrears and tenancy information from Tramps database, updating tenancy schedules, and running utility graphs/data.
2. Liaising with FM teams and onsite management personnel to update FM report material, including environmental & risk management reports. Communicating with client lawyers on licences, assignments, and leasing updates. Ensuring contact details are current. Formatting, printing, and binding reports.
3. Preparing monthly Dashboard reports.
4. Assisting with the preparation of presentation materials, including formatting, graphs, and slides.
5. Calculating and raising fees for team members, monitoring fee increases in line with Management Agreements, checking fee workbooks, reviewing weekly aged debt lists, and pursuing overdue debts.
6. Setting up new clients on Optimus and conducting KYC checks on new or expired clients.
7. Ensuring Quality Assurance files are up-to-date and compliant.
8. Calculating and preparing building insurance apportionments.
9. Typing correspondence, minutes, reports, and spreadsheets.
10. Managing diaries—organizing meetings, room bookings, catering, and travel arrangements.
11. Performing general administrative duties for surveyors and FM staff, including answering calls, archiving, managing department post, and creating files.
12. Coordinating and coding supplier invoices.
13. Preparing change notes to maintain tenant information.
14. Interpreting commercial leases, including Scottish law, to extract lease details.
15. Possessing basic knowledge of commercial property management.
16. Coordinating team reporting and data collection to ensure accuracy and progress tracking.
Person specification
Qualifications/Key Skills
* GCSE level education or equivalent, including English and Mathematics.
Experience
* Previous experience in a similar role.
* Excellent written and spoken English skills.
* Proficiency with IT systems, including Microsoft Office and other business software.
