Overview
Workforce Rota Coordinator
Brand new role now available for a Rota Coordinator to join our client's team, based in York! The post holder will be responsible for ensuring our clinical and operational rotas are fully resourced across the multiple services. They will coordinate rotas efficiently, liaising with medical staff to ensure adequate cover is provided at all times, maximise skills and resources within the staff cohort, and arrange locum bookings to ensure cost-effective and safe staffing levels across all clinical services. The rota schedule should be developed, maintained, and coordinated proactively to ensure required resourcing each day.
Responsibilities
* Be the main point of contact for clinical rota matters.
* Identify workforce gaps, act on planned and unplanned absence to ensure service delivery is maintained, and escalate where necessary.
* Ensure rotas reflect planned service delivery to provide sufficient resources and safe staffing numbers.
* Identify and highlight opportunities to improve clinical rotas to enhance patient experience, support the workforce, and reduce pressure on services.
* Utilise the clinical rota system (Rotamaster), including supporting clinicians with setup, shift booking, and responding to queries.
* Update shifts on the clinical rota system daily to reflect actual hours worked for payroll purposes.
* Respond to queries from clinicians regarding the rota and provide information in line with protocol and procedures.
* Ensure payroll-related tasks are completed accurately and on time, collaborating with the wider HR Team as needed.
* Participate in the preparation and administration of audit information.
* Build and maintain effective relationships with clinical staff across services.
* Provide timely responses to rota queries and resolve problems using initiative where possible.
* Record and report sickness absence for clinical staff.
* Communicate with clinical staff on rotas to maintain excellent communication, resolve problems, and escalate when appropriate.
* Provide reports on rotas as requested.
* Review working practices with the wider team and suggest improvements to ensure continual quality improvement.
* Comply with all relevant national and local statutory and mandatory requirements including Health and Safety and Infection Control.
* Stay up to date with employment laws, guidelines, and regulations to ensure the rota adheres to legal requirements.
* Be the point of contact to liaise with recruitment agencies to source locums.
* Ensure all new starters receive a local induction to the relevant service, along with accompanying documentation.
Hours: Monday to Friday – 37.5 Hours
