In this role, you will manage the logging, collection, booking in, and return of communication aids for repair. Attention to detail and accuracy are key to this role. You will be part of a busy repairs team, and being able to manage your time and prioritise tasks is essential. As a member of our team, you will help deliver a critical service to our customers, reducing the time they are impacted by processing and shipping delays. The successful candidate will have excellent communication skills and a desire to improve ways of working, ensuring that all repairs administration is handled efficiently and effectively. Duties will include: Organising and monitoring the collection of devices requiring repair, including arranging for the safe and efficient transportation of all items. Organising and monitoring the collection of courtesy loan devices, including arranging for the safe and efficient transportation of all items with close coordination with the Repairs Technician- Courtesy loan. Collecting devices from Goods-In, unboxing, and arranging them on designated shelves and maintaining accurate tracking. Accurately record all necessary details of received devices in the business system for traceability. Preparing completed repairs and courtesy loan devices for safe transit and organising worldwide shipments, while maintaining an understanding of non-GB shipping requirements. Preparing faulty Original Manufacturer Equipment (OME) for safe transit and organising worldwide shipments, ensuring compliance with non-GB shipping requirements. Processing Repair Request forms into the business system, ensuring accurate and timely resolution of all repair requests. Processing trade-in requests and providing accurate updates to customers. Recording returned trade-in devices according to company specifications, ensuring clear and accurate documentation of all transactions. Coordinating with the recycling company for the secure disposal and recycling of trade-in devices and related items. Preparing trade-in devices for secure and compliant transit to the authorised recycling provider. Verifying recycling reports and cross-referencing them with shipped serial numbers to ensure accuracy. Triaging emails into the relevant technicians’ inboxes based on the level of attention required. Managing the shared inbox by filtering and ensuring all emails are responded to promptly and not overlooked. Responding to telephone enquiries and providing timely updates on repair status to maintain high customer satisfaction. Providing interim coverage for the Repairs Administrator during periods of absence to ensure continuity of operations. Coordinating the secure storage and compliant disposal of batteries and WEEE in line with applicable regulations. Ensuring the packing area is well-stocked, clean, and maintained to company standards to support team safety. You will also be asked to perform other duties on an ad-hoc basis and will need a proactive attitude to this. Essential Qualifications/skills/experience Excellent attention to detail. Excellent communication skills. Excellent knowledge of Microsoft Office. Ability to work both independently and as part of a team. Ability to prioritise effectively. Ability to adapt to change. Useful Qualifications/skills/experience Familiarity with Business Central. Familiarity with the shipping process. Additional information: This is a full-time, fixed-term contract (6 months), based in our Malvern office, with standard working hours of Monday to Friday, 9:00 am to 5:30 pm, supporting close collaboration with the team. You will gain in-depth knowledge of our products and see first-hand the impact they have on empowering people every day. You will have the opportunity to collaborate with teams across the business and contribute to shared goals. This role involves a high level of physical activity (approximately 80%), including lifting and moving boxes using trolleys, packing and unpacking items, preparing shipments, organising repair trays, managing trade-in and WEEE disposal, and maintaining a safe and organised packing area. All tasks are carried out in line with health and safety procedures, with training and equipment provided. Why join us?
