Purpose To provide a reception service, on a rotating shift basis between the hours of 07:45am and 13.00pm, Monday to Friday and to provide administrative support where appropriate. Key Responsibilities To gain a full understanding of poultry in Pilgrims. To manage the Main Company Reception Area. Contribute to that department/ add value by developing requisite skills in this area in line with Pilgrims competency framework. To deal with both internal and external switchboard calls in an efficient and courteous manner. Manage post. Sort internal and prepare outgoing post for the Royal Mail postal service. Compile the post accounts and reconcile on a monthly basis. To be familiar with basic switchboard and handset facilities and set up. Train users in switchboard and handset facilities as necessary. Report any switchboard or handset breakdowns to the IT Support Section Keep company phone numbers and extension lists up to date on outlook. Greet and register visitors using the visitor protocol and notify relevant staff of their arrival. Ensure visitors are made aware of the Company's regulations regarding visitors to the site Manage meeting room bookings and diary, when required. Monitor and report any threatening calls as per the instructions provided. Be fully conversant with the documented Reception procedures and report any exceptional issues affecting the smooth running of the Reception function to the HR Advisor. To collate roll call check list for weekly fire alarm test. Assist the HR departments in general administrative duties. To provide general ad hoc clerical services as required. Any other duties as may be required. To work in a manner that actively seeks to reduce any negative environmental impact in relation to the processes and procedures operating within their area and across the wider business e.g. reduction of waste, recycling etc. Key Deliverables Previous receptionist/ telephonist experience. Good telephone manner. Well presented, open and friendly approach, articulate. Able to manage switchboard Good organisational skills. Administration skills.
