Work-Based Learning (WBL) delivers a wide range of Apprenticeship and employability programmes in collaboration with partners across Wales as part of the B-WBL Consortium, led by Pembrokeshire College. The WBL team ensures full compliance with Welsh Government and MEDR contractual requirements and Estyn quality standards, while supporting employer engagement, workforce development, and learner progression across diverse vocational areas. The WBL Administrator & Compliance Officer will provide administrative support to the central team and Training Advisors, audit and check compliance of digital processes, and liaise closely with the WBL Manager, Operational Lead, Senior Compliance Officer, and MIS Data Officer to ensure accuracy, efficiency, and adherence to quality standards.
Key Responsibilities
The Work Based Learning Administrator will be expected to:
* Assist in the provision of a general administrative service to the Work Based Learning Central Management team and the Training Advisors
* Audit the learner’s ESF documentation submitted by the Training Advisor, reporting accuracy or discrepancies
* Enter data into a range of computerised record systems, ensuring completeness, accuracy and timeliness complying with Welsh Government directives;
* Monitor accuracy of Apprenticeship digital forms following guidelines laid down in the WG Specifications, reporting accuracy or discrepancies according to agreed procedures;
* Audit the quality and compliance of Digital Reviews carried out by the Training Advisors. Providing adequate feedback on the Maytas system
* Monitor Training Advisers’ compliance towards the WBL Consortium’s KPI’s
* Liaise on a daily basis with Training Advisors across all campuses
* Assist MIS Data Officer in the processing of the digital sign up of learners, suspension of learners and the termination of learners
* Any other duties as directed by the Principal/Chief Executive commensurate with the grade of the post at the initial place of work or other locations within the College.
Skills Knowledge and Expertise
Essential Criteria:
* A minimum of 5 GCSE’s Grades A – C
* Level 3 or equivalent qualification
* Word processing Stage 2
* Competence in the use of a range of IT Systems and packages, including Microsoft WORD and EXCEL
* Experience of working in a busy office environment
* Experience of working in partnership with external agencies
* Good communicator with diplomacy and tact
* Good interpersonal and organisational skills
* Ability to work harmoniously with colleagues
* Ability to work under pressure and to tight deadlines
* Good presentation skills
Welsh Language Requirements:
* Welsh Oracy (Listening/Speaking) - Level 2 - Essential
* Welsh Literacy (Writing/Reading) - Level 2 - Essential

The College has an annual turnover of over £35m and employs around 800 staff.
Coleg Ceredigion was created in 1985 and became a corporate institution in 1993. The college merged with the University of Wales Trinity Saint David as a subsidiary company in 2014. The college has an annual turnover of £6m and employs around 180 staff.
The College is based in South West Wales and has seven main campuses at Llanelli (Graig), Carmarthen (Pibwrlwyd and Jobs Well), Ammanford, Llandeilo (Gelli Aur), Aberystwyth and Cardigan. The College is also home to Carmarthen School of Art which has its origins dating back to 1854.
