Due to growth within EMBL-EBI we are looking to recruit an additional Team Administrator to join our small but supportive team in GAA! Working closely with the PA to the section and other leaders within the group you will provide excellent admin support!
About The Team
The GAA section at EMBL-EBI brings together international experts to build and maintain some of the worlds most important genomic resources. The teams work at the forefront of biology and data science, ensuring that scientists everywhere can access high-quality reference genomes. In simple terms, the section helps turn raw DNA sequence data into meaningful knowledge. This includes piecing together genomes (assembly), identifying and describing the genes within them (annotation), and making these results openly available for researchers worldwide. Their work underpins major scientific discoveries in human health, agriculture, biodiversity, and beyond. By joining this section, you will be supporting a collaborative, international environment where the focus is on providing reliable, accessible data and tools that empower researchers to answer big questions about life.
This is a busy role supporting the PA to the section and working closely with another Team Administrator; you will be working alongside six Group Team Leaders and around 120 colleagues.
Duties Include
* Provide assistance (administration, correspondence, reporting, etc.) to the PA and Group Team Leaders.
* Provide a full range of administrative services to your Section of approximately 130 people, including; organising Scientific Advisory Board meetings, workshops and other events
* Coordinate local, national and international travel, arranging accommodation, flights, taxis and visa applications for both internal colleagues and external visitors to the institution.
* Ensure that staff travel reimbursement claims are processed efficiently.
* Reconcile the teams credit card
* Maintain organisation-wide systems and appropriate digital system for matters relating to the Section in which you work.
* Process Section equipment and supplies orders, and reconciling section expenditure.
* Other duties including coordinating and minuting meetings
* Provide periodic PA cover to the Head of Section and other sections if needed/ holiday cover.
You have
* Methodical approach to work but always looking for ways to innovate and improve
* Good communication skills, including written and verbal
* The ability to manage complex teams and experience working with international partners would be a distinct advantage.
* Strong technical skills, including use of google docs, smart sheets, filemaker
* A genuine interest in Science and the work we are doing here at EBI!
* The ability to plan and arrange complex travel plans both domestically and internationally.

Other helpful information
* Hybrid Working - At EMBL-EBI we are pleased to offer hybrid working options for all our employees. A dedicated desk will be available everyday, but most of our team choose to work two days on site and three from home.
* Interviews - We plan to hold introductory interviews with selected candidates after the closing date. We plan to hold interviews on Campus on Wednesday 15 October 2025.
