Role Description
We are growing and have an opportunity for the right person to join us as our Training Course Administrator. You will be involved in all aspects of organising our operation, looking after our clients and delegates, and bringing your own uniqueness to our small, cake-loving team in Southampton.
Our customers come from around the world. Ideal candidates will have a caring nature, willingness to learn, and a natural curiosity for navigating a dynamic environment where no two days are alike. You will support delegates, trainers, clients and visitors who are diverse, and you will proactively communicate with delegates, clients and third parties (including partner organisations, embassies and attachés).
Responsibilities
* Administer course bookings
* Book accommodation and coordinate travel as required
* Meet and greet delegates on arrival
* Provide local insights and social recommendations for overseas visitors
* Communicate proactively with delegates, clients and third parties
* Procure refreshments, stationery and equipment
* Assist trainers with course materials, training rooms and delegate packs
* Respond to issues and enquiries to ensure a smooth experience
* Organise routine office tasks and events
* Support other duties as needed within the team
Responsibilities – Additional Duties
* Administer course bookings in the system
* Maintain the Xero finance system
* Issue invoices, credit notes and purchase orders
* Balance petty cash and maintain financial records
* Maintain HubSpot CRM system
* Provide information about services to clients
Qualifications
* Strong interpersonal and communication skills
* Experience in customer service
* Ability to provide administrative assistance and support
* Familiarity with training coordination and logistics
* Excellent organisational and time-management skills
* Proficiency in MS Office
* Bachelor’s degree or equivalent experience preferred
What you will need to bring
* Interest in working with people from different cultures and language groups
* GCSE English and Maths (A-C) or 6-9
* Knowledge of the local area (Southampton)
* Competent in Word, Excel, PowerPoint; proficient with technology
What else would help
* Sense of humour
* Experience with financial/petty cash systems
* Full UK driving licence
* Level 2 qualifications in business administration or customer service or similar
* Experience studying, living or working outside of the UK
* Experience working with diverse cultures and languages
* Multilingual abilities are a plus
