Role Summary:
This role will support our Health and Safety team in maintaining a safe and compliant working environment. This role is ideal for individuals looking to start a career in health and safety. The successful candidate will assist with a range of administrative tasks, including maintaining safety records, updating documentation, supporting audits and inspections, and helping to ensure compliance with health and safety regulations.
Function:
The technical function owns the specification for the scheme, interpreting the business case and purpose and translating this into a system requirements set. Activities fall broadly into two categories - establishing standards and requirements, and assuring these are being met during both design and delivery. These activities take place across a number of domains, each requiring different technical specialist capabilities to provide a suitable level of knowledge, support, and innovation.
Key Responsibilities
· Organise and schedule Health, Safety and Security training courses
· Support the management of our training/competency matrix and manage Health, Safety and Security training records
· Manage the Safe and Secure Close Call reporting system – allocating actions to owners and ensuring close out.
· Manage the accident and incident register – ensuring all records and reports are properly managed.
· Ensure KPI’s and monthly reporting is carried out and collation of supply chain KPI’s and support producing statistics for monthly reports
· Support the management of the Health Safety Management System (HSMS) and ensuring key policies are reviewed on an annual basis
· Support the office Health and Safety requirements, monthly inspections etc. Health and Safety Notice Board updates
· Support the team in producing safety alerts following close calls or accidents and incidents
· Help prepare and collate information for the bi-monthly Health, Safety and Security Newsletter and other HSS publications
· Responsible for weekly team whereabouts and weekly team updates
· Support the implementation and roll out of Peoplesafe (our lone working process)
· Ensure records of documentation are stored on our internal management system
· Manage the automated risk assessment process
· Manage the procurement, stock levels and distribution of PPE
· Support the management of our DSE process
· Manage the workforce engagement schedules
· Support the management of diaries and organising team meetings and with the writing of minutes and keeping action logs for H&S meetings
· Help support the administration for our design system
· Take responsibility of your own and others’ health and safety by adopting and working to the EWR Co Health and Safety principles.
· Demonstrates a cost-conscious mindset, keeping tax payers’ money at the forefront of decisions.
· Shows a commitment to innovation by proactively seeking creative solutions to challenges and opportunities.
· Act as a role model for EWR Co’s vision and behaviours, working in ways that are aligned with EWR Co’s Ways of Working, as well as encouraging and supporting others to do so too.
Skills, Knowledge and Expertise
Experience and Skills:
· Experience in office administration or clerical work
· Proven experience in supporting a health and safety team or function or work related to workplace safety
· Exposure to health and safety practices, including incident reporting and risk assessments
· Strong administrative and organisational skills, with attention to detail
· Proficient in data entry, document control, and record-keeping
· Clear verbal and written communication across departments
· Ability to manage multiple tasks and meet deadlines effectively
· Basic knowledge of health and safety regulations (e.g., HSE guidelines)
· Familiarity with risk assessments and incident reporting procedures
· Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint
· Experience with health and safety management systems or databases (desirable)

· NEBOSH Health and Safety at Work Award (or equivalent)
· IOSH Working Safely or Managing Safely
