Receptionist

Salary: £31,692 per annum, plus company benefits

Location: London, EC4N 8AF (EC2V 5HA from mid July)

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 8am until 4:30pm, 9am until 5:30pm and 9:30am until 6pm on a rotational basis with 1 hours unpaid break

Work model: Fully onsite

Williams Lea seeks a Receptionist to join our team!

Purpose of role

The primary focus of the Receptionist role is to deliver excellent customer service at all times and providing administrative and front line service to all visitors and staff.

Key responsibilities

1. Promptly and efficiently deal with telephone calls
2. Take and pass on messages accurately as required
3. The main point of contact for any visitor/guest or employee for the organisation
4. Greet and interact with visitors to the location informing the host of the guest’s arrival
5. Arrange travel & couriers for location with accurate vehicle and destination information
6. Deal with any other reception or switchboard duties as required
7. Continually monitor reception inbox ensuring e-mails are responded to in a timely manner
8. Book and allocate meeting room space on our tablets and meeting room booking system
9. Action any requirements for hospitality including ordering catering and presenting in the meeting room at the required times
10. Book fine dining, confirming menu choices and noting dietary requirements
11. Book meeting requirements (eg AV equipment, beverages, flipchart, screen, etc)
12. Action and manage promptly any changes to requirements
13. Troubleshoot and manage AV equipment
14. Assist clients with setting up teams calls
15. Booking in visitors and guests with the building reception/security team
16. Liaising with office services for room set ups/furniture removal
17. Having an eye for detail and checking rooms are perfect each time
18. Car park control
19. Ensuring that the guests and hosts are taken care of offering excellent customer care skills at all times

Personal attributes

20. Minimum of two-year receptionist, switchboard or administrative assistant experience required preferably in a banking, legal or large corporate environment
21. Exceptional customer service skills to effectively great and communicate with callers and visitors
22. Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and great visitors
23. Ability to work in a fast-paced team environment
24. Ability to effectively and professional communication with co-workers and clients
25. Attention to detail with an emphasis on accuracy and quality
26. Intermediate computer skills including Microsoft Word and Excel
27. Ability to prioritize work to balance multiple projects and deadlines
28. Excellent verbal and written communication skills
29. Self-motivated and the ability to multi-task
