The Data Administrator needs to be organised and competent to support critical functions within the organisation. The post holder will take responsibility for ensuring professional delivery of their duties to a high standard within the operations team.
Job Title: Data and Onboarding Administrator
Responsible to: CEO
Line-managing: None (This may change)
Main Purpose of Job: To ensure your areas of responsibility are delivered on time and to a high standard, contributing to the overall success of the operations team. Ensuring the effective administration of all repeatable and administrative tasks.
The successful candidate will be able to deliver a high, professional standard or work, to tight deadlines
Duties and Responsibilities
Compliance and Reporting
* Compile and submit data returns reviewing all areasfor compliance, for errors and opportunities to enhance data, prior to submission.
* Ensure all data returns are sent to council partners on time, in the required format and meet individual council specifications to ensure timely payment of invoices.
* Ensure satisfactory reporting of supporting documentation to funding partners of student supporting evidence for application and career outcomes. This must ensure that all supporting evidence meets strict council guidelines prior to submission.
* Once familiar with all the data reporting requirements, streamline the process ensuring maximum efficiency and minimum room for error
* Regularly quality assure the website, reporting errors and recommending improvements as required
Identify and deploy continuous improvement
* Understanding our company, customer and partner requirements, seek opportunities to develop, test and iterate continuous improvement through the organisation with tools such as N8N, HubSpot, Twilio, PowerBI and others as the use case requires.
Student Administration:
* Be proficient in the use of Hubspot, ensuring it is kept up to date with the needs of the organisation and relevant, accurate templates are available as required.
* Ensure all taster session administration tasks are completed, and aligned, this includes meeting links, instructors are aware and allocated by the relevant team.
* Ensure student onboarding is completed effectively by the agreed deadline- this includes managing of application forms, ID checks, privacy policies and code of conducts, coding challenges, as well as any other documentation required for effective onboarding.
* Ensure that course start communications are managed effectively and prepared to be sent to students who are fully enrolled, prior to the course start. This can include, but is not limited to email and SMS.
* Ensure that course start preparations have been managed effectively by the delivery team, and be available to support where this isn't the case, including elements such as registers and moodle.
* Ensure process wiki is kept updated with your roles
General Operations and Administration
* Fulfill the reception requirements at Head Office, this includes answering the phone, taking messages and sending out documentation to students as required, where required.
* Ensure your training is up to date, completing training as it is allocated and in the timeframe that it is set to keep the organisation compliant.
* Assisting with general enquiries promptly and efficiently; telephone, mail and email.
* Any other task that can be reasonably asked of you
