Main duties of the job

Support the Community Engagement & EventsPlanner including but not limited to -

Bookvenues and arrange facilities for events.

Coordinateevent logistics including equipment, refreshments, and signage.

Liaisewith stakeholders and community partners to secure stalls and participation.

Trackand manage event budgets within approved limits.

Supportthe Community Engagement & Event Planner in preparing event materials andmerchandise.

Assistwith event promotion through social media and local networks.

Ensureall practical arrangements are completed on time for successful event delivery.

Job responsibilities

The Community Engagement Admin Assistant provides essential practical and administrative support to ensure the smooth planning and delivery of community engagement events. Working closely with the Community Engagement & Events Planner, the postholder helps coordinate logistics, manage bookings, liaise with stakeholders, and maintain accurate project documentation. This role is vital in ensuring that events run efficiently, meet organisational standards, and successfully engage local communities.

The postholder will take responsibility for booking venues and arranging all required facilities, ensuring each location is suitable, accessible, and confirmed well in advance. They will support the coordination of event logistics, including equipment setup, refreshments, signage, and any additional resources needed for effective event delivery.

A key aspect of the role involves liaising with stakeholders, community partners, and local organisations to secure stalls, confirm attendance, and maintain positive working relationships. The Admin Assistant will also help track and manage event budgets, ensuring all spending remains within approved limits and is accurately recorded.

The role includes supporting the Community Engagement & Events Planner in preparing event materials, merchandise, and documentation, ensuring everything is ready ahead of schedule. The postholder will also assist with event promotion, working with social media leads and local networks to raise awareness and encourage community participation.

Throughout the planning cycle, the Admin Assistant ensures that all practical arrangements are completed on time, project plans are updated, and communication between partners, staff, and stakeholders remains clear and wellcoordinated. Their contribution helps ensure each event is delivered professionally, efficiently, and in alignment with organisational goals.

Personal Qualities

* Ability to build relationships with diverse stakeholders


Other Requirements

* Lives within or has strong knowledge of the local community


Experience

* Experience in administrative or event support roles.
* Experience in NHS or healthcare setting.
* Knowledge of local community organisations
* Experience in coordinating events and liaising with external partners.


Skills

* Ability to work under pressure with the ability to manage multiple tasks and deadlines
* Strong organisational and communication skills
* Ability to work collaboratively with diverse stakeholders


Qualifications

* GCSEs (or equivalent) in English and Maths.
* Proficient in Microsoft Office and basic budgeting.
