To provide high-quality administrative support to ensure the smooth running of Horfield Health Centre. The Medical Administrator plays a key role in supporting clinical and non‑clinical staff, maintaining accurate records, and ensuring excellent patient service in line with NHS and practice policies.
Person Specification
* Previous administrative or clerical experience.
* Strong IT skills (Word, Excel, Outlook, EMIS or similar clinical systems desirable).
* Excellent communication and interpersonal skills.
* Ability to work accurately under pressure and manage competing priorities.
* Commitment to patient confidentiality.
* Team player with a flexible and proactive approach.
* Previous NHS or GP practice experience.
* Knowledge of medical terminology.
* Experience with clinical coding, referrals, and data quality.
Main duties of the job
* Handle patient queries in person, by phone, and via electronic communication in a professional and sensitive manner.
* Register new patients, process deductions, and update records in line with practice protocols.
* Support patients with appointment bookings, referrals, repeat prescription requests, and online services.
Clinical Administration
* Process hospital letters, test results, and clinical correspondence accurately and in a timely manner.
* Prepare and maintain medical records, ensuring confidentiality at all times.
* Support recall systems for chronic disease management, vaccinations and screening programmes.
General Office Duties
* Maintain electronic and paper‑based filing systems.
* Undertake scanning, coding and data entry as required.
* Assist with production of reports, letters and documents for clinicians and management.
* Monitor generic practice inboxes and respond appropriately.
Team & Communication
* Work collaboratively with the reception, admin and clinical teams to ensure smooth workflow.
* Attend team meetings and contribute to service improvements.
* Provide cover for colleagues during periods of leave or sickness.
Confidentiality & Compliance
* Maintain strict confidentiality of all patient and practice information.
* Adhere to GDPR, safeguarding, and information governance requirements.
* Follow practice policies on health and safety, infection control and equality & diversity.
Job Type: Part‑time
Working hours: 20‑30 hours per week, flexible shift pattern Monday to Friday 8:00 am to 6:30 pm, occasional Saturday working and some weekday evenings to 8 pm.
Pay rate offered will be dependent upon prior, relevant experience.
