Paul Davis Restoration
is currently looking for an Inside Reconstruction Project Coordinator at our Worcester Branch.

The Paul Davis project coordinators are the engine that drives the ship. They are vital to successful project management and instrumental in ensuring compliance with all program requirements.
One major goal of the coordinator position is to become Subject Matter Experts in their disciplines and in program compliance, which may vary depending on the project source.
Schedule:
Full-Time, Monday through Friday, 8 am - 5 pm.
Duties and Responsibilities:
1. Provide phone coverage at all times.
2. Make initial contact for all projects, regardless of discipline.
3. Set up projects within the internal project management system.
4. Ensure projects are properly linked across relevant systems and platforms.
5. Responsible for ensuring compliance with customer contact and inspection scheduling dates.
6. Assist project managers (PMs) with compliance tasks, staying aware of project statuses and helping ensure deadlines are met.
7. Request updates from PMs on projects, especially approaching compliance deadlines.
8. Monitor the daily operations report and seek feedback and updates from PMs for projects listed.
9. Update and manage the project tracking dashboard.
10. Sort and distribute relevant emails to appropriate PMs, providing feedback and revisions as needed.
11. Maintain accurate project files, including work authorizations, contracts, certificates of completion, and other documents.
12. Assist PMs with obtaining contracts and change orders.
13. Serve as a point of contact for customers, ensuring communication includes both the Coordinator and PM, especially when PMs are in the field.
14. Assist with scheduling PM inspections by accessing their calendars and setting appointments.
Qualifications:
* Over 2 years of experience in general office administration or management.
* Experience in restoration, construction, or insurance industries is a plus.
* Familiarity with project management systems is beneficial.
* Knowledge of industry-specific software systems is advantageous.
* Strong customer service skills.
* Proficiency in Microsoft Office, especially Word and Excel.
* Self-motivated and proactive attitude.
* Ability to multitask effectively in a fast-paced office environment.
* Excellent written and verbal communication skills.
