Job Title: Document Coordinator
Great role working for MBNL on an initial 6-month contract with a 2-day hybrid working model each week in the office.
The Health, Safety, Quality and Environment team, within the People team, is responsible for managing Health and Safety, Quality, and Environmental compliance across all work on Radio Access Network sites used by Three and BT-EE.
Reporting directly to the Head of Quality Assurance and Operational Excellence, the Document Coordinator will collaborate closely with the Document Controller and the wider business to develop and deliver MBNL’s Document Management System (DMS).
The primary focus of this role is on external document publication, ensuring legacy documentation is properly managed and accessible only as needed. The role serves as a point of contact for providing documentation to external DMS repositories and ensuring internal documentation aligns with expectations.
What you will do:
1. Collaborate with document owners, functional leads, and SMEs to review and manage existing documentation on MBNL’s external DMS.
2. Ensure documentation metadata in external DMS aligns with the internal DMS and that the document lifecycle is maintained.
3. Work with the Document Controller and external DMS administrators to enhance DMS functionality and design, including establishing a formal archiving process.
4. Support the Document Controller in coordinating updates, reviews, approvals, releases, and archiving of documentation on the external DMS.
5. Oversee document metadata during publishing to ensure consistency and long-term control.
6. Assist business users in accessing the external DMS.
7. Maintain accurate records of documents, including logs, databases, and registers, to facilitate retrieval and audit trails.
8. Resolve document-related issues or discrepancies as they arise.
What we are looking for:
* Knowledge of DMS and application of metadata for library management.
* Understanding of document management principles and approaches.
* Strong IT skills, including proficiency with Microsoft 365 and SharePoint.
* Ability to work with multiple stakeholders with conflicting priorities.
Nice to have:
* Bachelor’s degree in Business Administration or IT Systems.
* Knowledge of ISO9001 and ISO45001 standards.
* Experience in the construction or asset management industry, with awareness of CDM regulations.
