The Role
To manage the company's fleet operations, ensuring efficiency, compliance, financial control, and adherence to relevant regulations. This role is responsible for analysing financial performance, maintaining vehicle standards, managing drivers, and reporting to senior management.
Health, Safety & Environment
This role will be required to ensure that all health and safety processes are being followed. Sufficient experience in relevant Health and Safety, loading, unloading and fleet management practices is essential
Principle Duties and Responsibilities
The specific accountabilities of this flexible role may alter from time to time to meet the needs of the company, but accountabilities will include (or be equivalent in nature to) those listed below:
Financial Management
* Work within allocated budgets for vehicle maintenance and operations.
Fleet Acquisition, Leasing, and Disposal
* Oversee vehicle acquisition, including purchasing, wrapping, compliance checks, tracker/camera installations, insurance setup, and registration for relevant zone restrictions (e.g., Dart Charge, ULEZ).
* Manage vehicle leases, ensuring adherence to mileage allowances and contractual obligations.
* Facilitate vehicle disposals, ensuring all compliance requirements are met and tracking disposal value.
* Maintain up-to-date, centralised records of all vehicles, including:
o Purchase/lease details.
o Agreements, relevant dates, and mileage allowances.
o Vehicle pricing and contracts for access by Accounts and SLT.
Compliance and Legislation
* Ensure adherence to Operator Licence (O Licence) obligations.
* Keep up to date with changes in transport and fleet-related legislation.
* Review and manage DVSA scores to maintain compliance standards.
* Ensure vehicles meet FORS Gold, ISO, and other accreditation requirements.
Vehicle Maintenance and Tracking
* Ensure the fleet is up-to-date and properly maintained with accurate records of: Vehicle maintenance schedules.
Penalty Charge Notices (PCNs).
Fuel usage and efficiency data.
* Maintain and monitor vehicle tracking systems, ensuring they function correctly.
Driver Management and Development
* Manage, appraise, and assist with developing drivers, ensuring they have the necessary tools and resources to perform effectively.
* Manage Taco compliance and driving behaviours
* Create and implement a vehicle on-boarding process to ensure drivers are fully equipped with:
Training on new vehicles.
Compliance expectations (e.g., vehicle checks, zone charges).
Use of vehicle trackers, cameras, and fuel monitoring systems.
* Conduct accident and driver investigations promptly, reporting findings and outcomes to the Senior Leadership Team (SLT).
Process Improvement
* Constantly review and improve processes to enhance efficiency and reduce downtime.
* Develop and implement a driver downtime model to ensure vehicles remain operational during holidays or sickness.
Reporting and Communication
* Report monthly to senior management on:
Incidents, accident investigations, and key operational issues.
* Maintain accurate and centralised records accessible to Accounts and SLT.
* Customer and Operational Excellence
* Manage and resolve customer transport-related complaints.
* Collaborate with operations and sales teams to improve vehicle utilisation and cost efficiency.
* Assist with the planning when required, act as the main point of contact for the sales team drivers.
Level of Knowledge and Experience
Essential
* Proven experience in fleet management, logistics, and compliance.
* Manager CPC / CPC National or International
* Proven experience in Transport Planning and Fleet Compliance
* UK Transport knowledge
* Strong understanding of O Licence requirements, FORS accreditations, and DVSA regulations.
* Proficiency in managing vehicle tracking systems and compliance processes.
* History of Logistics, Distribution and Supply Chain
* Excellent Microsoft Office skills
* Experience in managing accident investigations and driver appraisals.
* Financial acumen with experience in budgeting, analysing transport costs, and managing vehicle leases.
