(Graduate) Trainee Personal Assistant
We have an exciting opportunity for a bright Graduate looking to build a long-term career as a Personal Assistant / Executive Assistant in a fast-paced, project-heavy environment.
Working closely with a Director across two businesses, this hands-on role will suit someone with exceptional IT skills, strong communication, and a genuine can-do attitude who thrives on variety and responsibility.
You will support a wide range of business and personal coordination tasks, with priorities shifting depending on live projects. One day may involve operational support and research, while another may include diary management, client interaction, or high-level meetings… if you think you can excel in this type of role, we want to hear from you!
This position offers hybrid working based on an ‘as required’ schedule. This role must work in the office on the days the Director is on-site and may also be required to work on-site at the other business when required.
Key Responsibilities
* Providing day-to-day personal and executive support to a Director across two businesses
* Supporting various roles across both businesses, ranging from email management, telephone handling, screening, projects, etc.
* Managing diaries, meetings, inboxes, and scheduling across multiple priorities
* Coordinating bookings, interviews, meetings, purchase orders, and personal services
* Managing PA-related tasks for family/private matters
* Handling client communication in a professional and confidential manner
* Assisting with research projects and ad-hoc business initiatives
* Supporting supply ordering, stock management, and office logistics
* Covering reception and lunch breaks for the wider business when required
* Assisting with sensitive finance and HR-related administration with absolute discretion
* Running errands when required, including to the post office, pharmacy, and local tasks
Requirements
* Graduate-level candidate with outstanding IT skills and technical confidence
* Extremely confident on the telephone, with a natural ability foster relationships
* Exceptional organisational skills with the ability to juggle multiple priorities
* Problem-solving mentality focused on finding resolutions and forecasting issues before they arise
* Can-do attitude, not afraid to take on any task within the workplace
* Must live within a commutable distance to the offices, have a car and a driving licence
* Calm under pressure and able to work at a fast pace without becoming overwhelmed
* High levels of discretion with a clear understanding of confidentiality
* A flexible, proactive attitude with a willingness to support wherever needed
