Key Responsibilities
1. Provide dedicated secretarial and PA support to one or more conveyancing fee earners/solicitors.
2. Typing of legal documents and correspondence via audio dictation (BigHand or similar software).
3. Preparing and amending contracts, Land Registry forms, completion statements, and other conveyancing documentation.
4. Opening and closing files, both physically and electronically, in line with compliance procedures.
5. Diary management, arranging appointments, and liaising with clients, estate agents, and other third parties.
6. Handling incoming calls and emails, taking detailed messages and following up on queries.
7. Assisting with post-completion procedures including SDLT submissions and Land Registry applications.
8. Filing, scanning, photocopying, and other general administrative duties.
Key Requirements
9. Minimum 2 years’ experience in a Legal Secretary or PA role within a Residential Conveyancing department.
10. Strong audio typing and digital dictation skills are essential.
11. A good understanding of the conveyancing process from instruction to post-completion.
12. Exceptional organisational and time management skills.
13. Friendly, professional manner and a strong team player.
14. High attention to detail and accuracy.
15. Ability to handle sensitive information with discretion.
16. Confident in using Microsoft Office and case management systems (experience with Leap, Proclaim or similar is advantageous).
